The Role
Position: Executive Assistant 

We are looking for a highly experienced, energetic, hyper-organized, and motivated Executive Assistant to handle a wide array of administrative tasks to support the work of our Regional Operations President.  

Roles and Responsibilities 
  • Provide extensive calendar support and regularly supervise and adjust the Regional Operations President’s calendar and schedule. This will include giving reminders as required, be available for last-minute changes, proactively prioritize meetings and resolve conflicts.  

  • Provide support to the Regional Operation President to organize and schedule monthly and annual meetings. Requires regular communication with advisors and/or their assistants.  

  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks that facilitate the Regional Operation President’s ability to effectively lead the company.  

  • Thoroughly research, prioritize, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.  

  • Research, book, and coordinate travel. Ensure required travel documents are in place, build itineraries, maintain travel credits, points, and expenses, maintain, and update calendar, and liaise with required parties at travel destination(s).  

  • Process expense report for the Regional Operations President and his direct reports and advisory members. Liaison with accounting to ensure payment is processed.  

  • Maintain memberships and subscriptions including setting calendar reminders, handling correspondence, and processing payment.  

  • Assignment of special projects as requested 

 Position Requirements  
  • Brentwood, TN Location 

  • At least 8 years administrative support experience, executive level preferred  

  • Bachelor's degree is preferred.  

  • Excellent time management skills and ability to demonstrate high attention to detail.  

  • Confidence to function in a role that requires a high degree of flexibility with the ability to independently interpret policies and solve non-routine, complex issues under minimal supervision.  

  • Utilizing your strong interpersonal skills, you easily build relationships with investors, staff, business associates, and board members.  

  • Regularly handle confidential information with utmost discretion and confidentiality  

  • Ability to be flexible and available as needed throughout the workday.  

  • Self-starting, critical problem solver who can switch priorities at a moment’s notice with minimal or no direction.  

  • Ability to present a positive and respectful front in all situations.  

  • Desire to work in entrepreneurial environment and be committed to our mission.  

  • Strong proficiency in Microsoft Office suite; advanced Outlook, Word, and PowerPoint skills  

  • Experience with technologies such as Expensify, Zoho, video conference systems, and Zoom.
