Job Summary
The Executive Assistant provides high-level administrative support to senior leadership, ensuring efficient execution of business priorities and day-to-day operations. This role operates with a high degree of professionalism, discretion, and independent judgment while proactively managing competing priorities, anticipating needs, and facilitating effective communication across internal and external stakeholders.Position Overview
Primary Functions/Responsibilities:
- Provide comprehensive administrative support to senior leaders, including complex calendar management, scheduling, and prioritization of meetings to ensure effective use of time.
- Coordinate and organize internal and external meetings, events, and leadership engagements, including preparation of agendas, logistics, and materials.
- Prepare executives for meetings by compiling briefing materials, presentations, and relevant documentation in advance.
- Serve as a primary point of contact between executives and internal/external stakeholders, ensuring clear communication and timely follow-up on requests and action items.
- Draft, edit, and manage correspondence, presentations, and reports on behalf of senior leaders.
- Organize meetings, training and seminars arrangements
- Handles details of a confidential nature and performs administrative functions based on understanding of company policy
- Perform other secretarial and administrative duties as assigned.
- Support office operations and administrative coordination, including interaction with IT, facilities, and other support teams as needed.
HSE Roles:
- Comply with HSE policies, Life Saving Rules, procedures, goals, and programs within the MBU HSE Management System.
- Actively engage in and contribute to HSE communication and consultation processes.
- Actively participate in HSE initiatives and programs that include but are not limited to, Safety Observations and HSE Trainings.
- Support company sustainability development (SD) initiatives and other environmental policies and practices.

Required Qualifications:
- 5+ years administrative support experience, including experience supporting seniors leaders and executives
- Bachelor degree in Business Administration or related field /team player
- Proficiency in Microsoft Office applications, including Outlook, Excel, PowerPoint, and Word
- Experience supporting executive leadership in a corporate environment
- Planning, organizing and time management
- Good written and oral communication in Bahasa Malaysia and English
- Strong interpersonal skills with ability to interact effectively across all levels of the organization
Key Interfaces:
- Reports and receive day to day directions from executive LT members that he/she is supporting
- Works closely with employees in ConocoPhillips Malaysia and other ConocoPhillips offices
- Maintain contact with business partners
