Role Overview
We are looking for a capable and detail-oriented Executive Assistant to support a senior stakeholder by delivering high-quality administrative and operational support. This role is ideal for someone with hands-on experience supporting leadership, who is looking to further develop their executive support, coordination, and stakeholder management skills in a fast-paced environment.
The successful candidate will be proactive, organized, and reliable, with the ability to manage day-to-day executive needs while continuously building confidence and expertise to operate more independently.
Key Responsibilities
Executive & Administrative Support
- Manage and maintain calendars, scheduling meetings across multiple time zones with accuracy and efficiency
- Coordinate logistics for meetings, including agendas, materials, and follow-ups
- Support travel arrangements, expense reporting, and other administrative requirements
Coordination & Operations Support
- Assist in tracking deliverables, deadlines, and action items to ensure timely execution
- Support preparation of reports, presentations, and meeting materials
- Help maintain organized systems and processes for executive workflows
Stakeholder Communication
- Serve as a liaison between the executive and internal teams for scheduling and coordination needs
- Draft and manage professional communications with guidance when needed
- Build working relationships across teams to ensure smooth coordination
Execution & Problem-Solving
- Proactively identify scheduling conflicts and offer solutions
- Take ownership of assigned tasks and follow through with minimal supervision
- Apply practical thinking to resolve day-to-day challenges effectively
Confidentiality & Professionalism
- Handle sensitive information with discretion
- Maintain professionalism when interacting with stakeholders at all levels
Required Qualifications
- Bachelor's degree or equivalent experience
- ~3-6 years of experience in an administrative or executive assistant role
- Experience supporting managers or senior leaders in a corporate environment
- Strong organizational and time management skills
Preferred Qualifications
- Exposure to supporting senior stakeholders (Director level exposure is a plus but not required)
- Experience in multinational or fast-paced environments
- Proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Teams)
