The Executive Assistant is a key contributor to the success of the Specialty Tax Services practices and serves as a trusted administrative and operational partner to the practice leader and partners of these teams, with a strong focus on the International Tax team. This role provides high-level support in a fast-paced, deadline-driven professional services environment and is expected to operate with a high degree of ownership, sound judgment, discretion, and follow-through.
In addition to providing traditional executive support, this role is responsible for helping maintain organized and efficient administrative processes that support client service, business development, billing, workflow coordination, and internal communication. The successful candidate will proactively manage tasks through completion, anticipate administrative needs, communicate status clearly, and reduce the administrative burden on Partners and the broader Specialty Tax team.

Responsibilities

  • Provide high-level executive and administrative support to Specialty Tax Service Partners and Practice Leaders, including International Tax, R&D Tax Credits, and the SALT practice
  • Assist in facilitating client contact for Partners as needed, including scheduling, follow-up on action items, and providing updates regarding engagement status
  • Coordinate and schedule internal and external meetings, calls, and other activities supporting Partners and their teams
  • Manage phone calls and email support, including helping organize communications, identifying priority items, and ensuring timely responses and follow-up
  • Support client set-up, administrative aspects of new client onboarding, and tracking of prospects and opportunities in internal systems
  • Assist with billing-related administrative processes, including reporting, budget tracking support, invoice preparation coordination, and communication of billing-related updates
  • Update and maintain internal systems and workflow tools accurately, including task management systems, CRM platforms, and other practice management tools
  • Draft and/or edit materials, including presentations, schedules, reports, letters, scripts, and various correspondence and content
  • Work independently on assigned projects by Partners, from conception to completion, coordinating with other departments and team members as needed
  • Provide general administrative office support, reception support, hospitality support, and other duties as assigned
  • Represent Partners professionally in interactions with internal and external stakeholders, exercising discretion, confidentiality, and sound judgment
  • Identify opportunities to improve administrative processes, strengthen consistency across workflows, and enhance overall efficiency within the Specialty Tax team
  • Coordinate travel arrangements for Partners by developing schedules and agendas, booking travel, arranging ground transportation, securing lodging and meeting space
  • Other duties as assigned

    • Ability to support executives in a high-volume environment with composure, flexibility, and a positive service mindset.
    • Ability to maintain accurate workflow tracking across multiple systems and ensure deadlines and follow-up items are not overlooked.
    • Ability to work collaboratively across Partners, managers, administrative professionals, and other internal teams.
    • Prior financial or professional services industry knowledge preferred
    Education, Experience and Certifications
    • Associate’s degree or commensurate experience
    • 5+ years’ experience in an administrative function supporting executive levels
    • Experience with event management, coordination of regular group meetings and daily calendar management
    • Prior experience supporting tax or other deadline-driven professional service teams preferred
    • Experience supporting high-volume inbox management, meeting planning, event coordination, and complex scheduling
    • Demonstrated ability to improve or standardize administrative processes to increase efficiency
    Essential Functions
    • Regularly required to perform manual tasks, concentrate, think, learn, communicate, sit, stand, walk, use hands and fingers, grasp, handle or feel objects, reach with arms, talk and hear
    • Must be able to remain in a stationary position as needed
    • The person in this position needs to occasionally move about inside the office and on site at client locations, stoop, kneel, crouch, push and pull
    • Vision abilities required include close vision, distance vision and the ability to adjust focus.
    • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer
    • Ability to communicate in a professional manner and exchange information with internal and external actors as needed
    • Ability to lift/carry up to 20 pounds

    Salary Range:

    $20.00 - $30.00
