The Executive Assistant supports the General Manager (GM) by managing schedules, communications, strategic administrative tasks, and cross-functional coordination.

Key Responsibilities
  • Manage the GM’s calendar, appointments, travel arrangements, and meeting logistics.

  • Act as the main point of contact between the GM and internal/external stakeholders.

  • Prepare presentations, reports, meeting documents, and executive correspondence.

  • Support the GM in prioritizing daily activities, deadlines, and strategic initiatives.

  • Coordinate leadership team meetings, agendas, minutes, and follow-up actions.

  • Collect information for company statistics, compile information, maintain and update databases and docs.

  • Handle confidential information with the highest level of discretion.

  • Assist with project coordination and cross-team communication.

  • Collaborate with Office Manager and People Team in organizing team events, offsites, workshops, All Hands, ecc..

  • Manage expense reports and administrative processes related to the GM’s activities.

  • Represent the GM professionally and ensure efficient communication flow across the organization.

Skills & Qualifications

  • Excellent organizational and time-management skills.

  • Strong verbal and written communication both italian and english

  • High level of discretion and confidentiality, professionalism, and emotional intelligence.

  • Ability to anticipate needs and proactively resolve issues.

  • Experience supporting senior leadership or executives preferred.

  • Proficiency with productivity tools (Google Workspace - Microsoft tools)

  • Be a team player - collaborate and work closely with the Leadership Team and all employees
