The Role:
- Executive Partnership: Serve as the strategic gatekeeper and an extension of the Partner’s brain. You will manage a complex daily calendar, arrange high-profile meetings, and ensure the Partner is operating as efficiently as possible across multiple time zones.
- Client and New Business Support: Provide tactical support for a roster of entertainment, impact, and technology clients. You will create research materials and briefs to prepare the Partner for networking, new business presentations, and client meetings.
- Logistical Mastery: Act as a wiz at booking complex travel and managing local logistics. You have the ability to pivot and change travel plans at a moment’s notice—a task that requires both precision and persistence.
- High EQ: You possess elite emotional intelligence and situational awareness. You know how to read a room, when to command the Partner’s schedule, and how to handle a high volume of daily questions with a positive, solutions-oriented attitude.
- Relationship Driven: You understand that you represent the Partner and the agency. You lead by example in how you treat your co-workers, clients, and guests—prioritizing trust, discretion, and integrity in every interaction.
Who You Are:
- The Experienced Professional: You have at least one year of experience working on a high-volume desk in a fast-paced environment (PR, talent agency, or entertainment experience is a major plus).
- Culturally Obsessed: You are genuinely interested in what is going on in the world—from the latest news and social good movements to fashion and film. Your name recognition of key industry players is a vital asset.
- Meticulously Organized: You are a master of the details and can manage multiple complex projects simultaneously without letting a single detail slip through the cracks.
- A Clear Communicator: You possess excellent written and verbal communication skills. You are persuasive, concise, and professional in all correspondence.
- Punctual and Proactive: You value time management; if you are on-time, you consider yourself late. You are proactive about flagging potential schedule conflicts before they happen.
- Driven to Over-Deliver: You are looking for a career, not just a job. You take genuine pride in being the engine that keeps a high-profile desk and a vibrant office running smoothly.
