The Opportunity:

The Executive Assistant to the CEO is a high‑impact, high‑visibility role at the heart of the organisation, providing exceptional, proactive support to enable the CEO to deliver on strategic and operational priorities. This opportunity places you at the centre of decision‑making, executive communication, governance rhythms, and leadership alignment — with influence across the entire business.

Responsibilities:

Support to the CEO

  • Manage a complex, fast‑changing executive diary with strong judgement around prioritisation, protecting time for strategic work and preparation.
  • Coordinate meetings, leadership forums, and follow‑ups to ensure timely execution of actions.
  • Act as the primary gatekeeper for the CEO’s office, handling correspondence, calls, and stakeholder queries with confidentiality and discretion.
  • Prepare briefing materials, agendas, talking points and executive packs to ensure the CEO is fully informed ahead of key engagements.
  • Oversee inbox management, flagging priorities and drafting communications that reflect the CEO’s voice and intent.
  • Manage complex domestic and international travel logistics, including itineraries, accommodation, visas, and contingency planning.
  • Handle sensitive information, expenses, invoices, and administrative processes with accuracy and professionalism.
  • Lead end‑to‑end planning and execution of executive events, strategy offsites, leadership days, and Board‑related engagements.
  • Provide seamless coverage for members of the Executive Team when their dedicated assistants are unavailable.
  • Collaborate closely with the broader EA/PA community to ensure alignment and effective operational rhythm across the leadership group.

Support to the Chief of Staff

  • Provide calendar, administrative, and logistical support to enable delivery of strategic programmes.
  • Support cross‑functional coordination and communication across teams.
  • Ensure alignment between the CEO’s priorities, the Chief of Staff’s initiatives, and the wider leadership agenda.
  • Liaise with internal and external partners on behalf of the Chief of Staff.

Support to the Board of Directors

  • Coordinate and manage Board and Committee meetings, including scheduling, documentation, logistics, and governance timelines.
  • Act as a primary liaison between the CEO’s office and Board Members, ensuring timely, accurate communication.
  • Support onboarding of new Board Members, including documentation, orientation, and induction arrangements.
  • Maintain the annual governance calendar in partnership with Company Secretarial and Legal teams.

Requirements:

  • Substantial experience supporting a CEO or equivalent executive in a complex, fast‑paced environment.
  • Exceptional organisational and time‑management skills, able to manage multiple priorities under pressure.
  • Outstanding written and verbal communication skills with exceptional attention to detail.
  • Proven experience managing Board‑level governance processes.
  • Demonstrated ability to handle confidential information with absolute discretion.
  • Strong interpersonal skills and the ability to build trusted relationships with senior leaders and external stakeholders.
  • Advanced proficiency in Microsoft Office Suite and virtual collaboration tools.
  • Advanced AI productivity skills, with the ability to use AI tools to streamline workflows, automate tasks, and 3× overall productivity.
  • Proactive, solutions‑focused mindset with the ability to anticipate needs and operate independently.
  • Sound judgement, resilience, and composure in high‑pressure environments.
  • Alignment with Rimes values, professionalism, and commitment to excellence.
