Purpose and Scope
The Senior Executive Assistant provides advanced, high-level administrative support to the Senior Vice President, Global Real Estate and Corporate Security, supporting critical initiatives and confidential projects at the corporate level. The position operates in a fast-paced, high-visibility environment with continual exposure to sensitive information, priority deliverables, and executive decision-making. Acting as a trusted partner and primary liaison for the executive, this role requires discretion, sound judgment, and the ability to manage complex and time-sensitive matters with minimal oversight. The role reports to a Senior Vice President who reports directly to a Management Board Member.
Principal Duties and Responsibilities
- Provide advanced administrative and operational support to the executive and senior leadership within the function.
- Manage highly confidential and time-sensitive materials with discretion and independent judgment.
- Organize and coordinate high-level, confidential meetings and conferences.
- Anticipate executive needs and prepare materials for meetings and presentations.
- Manage domestic and international travel arrangements.
- Prepare and reconcile executive expense reports.
- Develop and track budgets and support data analysis and reporting.
- Assist with reports and presentations by coordinating with stakeholders across the organization.
- Independently plan, organize, and prioritize work.
- Maintain department records, certifications, and administrative documentation.
- Support special projects and initiatives as assigned.
Experience, Required Skills & Education
- Minimum of 8 years of professional experience, including at least 5 years supporting senior-level executives
- High school diploma or equivalent required; Associate/Bachelors degree or two years of school highly preferred
- Exceptional written and verbal communication skills
- Advanced proficiency in Microsoft Office and virtual meeting platforms such as Microsoft Teams.
- High attention to detail and accuracy
- Ability to work effectively with senior executives and stakeholders

- Hourly Rate: $37- $51
Skills Required
- 5+ years related administrative support experience.
- High School Diploma required; Associate's or Bachelor's Degree desirable.
- Proven success in supporting administrative functions for senior management.
- Knowledge of computer software such as word processing, spreadsheet, presentation, database, and Visio programs.
