About the Role
We’re seeking an organized, proactive, and highly professional Executive Administrative Assistant to provide comprehensive support to two Executive Vice Presidents (EVPs) of Merchandising in a fast‑paced, high‑growth retail environment. This role is critical to enabling executive effectiveness by ensuring the seamless flow of information, meetings, decision support, and communication across a complex merchandising organization.
In addition to supporting the two EVPs, this role provides ad hoc support to the broader HG/HS Executive Administrative team, contributing to a cohesive, collaborative, and high‑performing executive office. The ideal candidate demonstrates sound judgment, discretion, and the ability to anticipate needs in a dynamic, deadline‑driven environment.
Key Responsibilities
Executive & Calendar Management
- Provide proactive calendar management for two EVPs Merchandising, balancing strategic priorities, internal meetings, travel, and vendor engagement
- Anticipate scheduling conflicts and resolve them independently, partnering effectively with peer Executive Admins where needed, ensuring executives are fully prepared for all meetings
- Act as a gatekeeper for executive time, exercising discretion and sound judgment when prioritizing requests
Meeting & Event Coordination
- Coordinate weekly, monthly, and quarterly merchandising meetings
- Prepare agendas, compile meeting materials, capture meeting notes, track action items, and follow up to ensure timely completion
- Develop presentations and executive‑ready materials, ensuring accuracy, clarity, and alignment with merchandising objectives
- Manage end‑to‑end logistics for on‑site and off‑site meetings
Travel & Expense Management
- Coordinate complex domestic and international travel, including multi‑city itineraries, last‑minute changes, and executive preferences
- Process travel and expense reports accurately and within required timelines, ensuring compliance with company policies
Communication, Reporting & Team Support
- Support the development and distribution of internal communications, including team updates, leadership announcements, and performance‑cycle communications
- Initiate, coordinate, and distribute reports related to merchandising operations, calendars, and leadership deliverables
- Manage and update Workday data as required, ensuring accuracy and confidentiality
- Provide additional administrative and project support to Executive and Senior Management as needed
Operational Excellence & Executive Partnership
- Anticipate executive needs and proactively address issues before they escalate, serving as a trusted partner to the EVPs
- Identify opportunities to streamline administrative processes, improve efficiency, and reduce operational friction across the merchandising leadership team
- Collaborate closely with other Executive Assistants to ensure consistent practices and a one‑team approach across the executive office
- Handle sensitive and confidential information with the highest level of integrity and professionalism
About You
- 10+ years of experience as an Executive Assistant or in a comparable senior administrative role, ideally supporting multiple senior leaders in a fast‑paced, hyper growth corporate or retail environment
- Demonstrated ability to support executive‑level leaders with confidence, discretion, and sound judgment
- Strong technology proficiency across the full Microsoft Office suite, with the ability to create polished, executive‑ready materials
- Exceptional interpersonal, communication, and influencing skills
- Highly organized, detail‑oriented, and able to manage competing priorities under pressure
- Proven ability to remain composed, flexible, and solutions‑oriented in a rapidly changing environment
