Due to the on‑site requirements of this position, applicants are expected to reside within a reasonable commuting distance of the designated work location (Chelmsford, MA). This role does not offer relocation.

Job Summary
The Executive Assistant will support the Vice President of R&D and R&D leadership team.
Responsible for a wide range of administrative and executive support related tasks. Able to work independently with little or no supervision. The ability to interact with all staff sometimes under pressure, remain flexible, and able to work extended hours on an infrequent but as-needed basis.

A strong service attitude, excellent written and oral communication skills, detail orientation and consistent follow-through are critical in this role. The successful candidate will contribute to the positive Company culture. Being proactive, resourceful, and efficient, with a high level of professionalism and confidentiality are crucial for success.
Essential Functions

  • Partner with executive(s) to help them be more efficient and effective with their time, consistently maintaining strong communication and confidentiality.
  • Make informed decisions to include prioritization of meetings and managing scheduling conflicts, keep executive(s) informed of changes and on schedule; prepare and distribute meeting materials.
  • Participate in annual business and budget planning.
  • Provide support for all department monthly/quarterly reporting.
  • Prepare tools and analyze results of department’s financial forecasting.
  • Take a pro-active approach to issues that arise and need immediate attention.
  • Coordinate travel arrangements.
  • Schedule, coordinate and support meetings including some held off site.
  • Prepare correspondence to internal/external parties.
  • General administrative tasks; database entry (ContractSafe); expense report processing (Certify); purchase order requisitions (Oracle); office supply purchasing.
  • Special projects as requested.

Required/Preferred Education and Experience

  • Bachelor's Degree or equivalent work experience required
  • 10+ years’ experience supporting at the executive level highly preferred

Knowledge, Skills and Abilities

  • Advanced knowledge of MS Office (i.e., Word, Excel, PowerPoint, Outlook, Teams).
  • ERP systems experience preferred.
  • Familiar with modern technology including conferencing systems.
  • Self-directed prioritization of work and projects; demonstrates measurable progress through open communication to leaders and team members consistently and with highest quality.
  • Capable of prioritizing activities and performing multiple tasks while interacting with all levels of employees.
  • Ability to work with frequent interruptions.
  • Proactive, collaborative, detail oriented, highly organized, with a desire to offer creative problem solving solutions.
  • Excellent calendar management skills, including the coordination and support of complex meetings.
  • Strong interpersonal and communications skills. Exemplary planning and time management skills.
  • Ability to handle confidential information with appropriate judgment and discretion.

The hourly pay rate for this position is:

$30.00 to $35.00
