The ideal candidate is calm under pressure, highly organized, exercises sound judgment, and consistently anticipates needs before they arise.

Success in this role requires the ability to manage competing priorities, navigate complex stakeholder relationships, maintain strict confidentiality, and create leverage for executives through exceptional execution, communication, and follow-through.

What You'll Do:

Executive Support & Calendar Management

  • Manage complex and constantly evolving calendars across multiple global time zones, including scheduling internal and external meetings, leadership reviews, customer engagements, and strategic business discussions.

  • Coordinate domestic and international travel arrangements, itineraries, accommodations, transportation, and related logistics.

  • Prepare agendas, briefing materials, presentations, and background information for executive meetings and engagements.

  • Anticipate executive needs and proactively prioritize activities to maximize executive effectiveness and productivity.

Strategic Partnership & Operations

  • Serve as a trusted advisor and strategic partner to executive leadership by anticipating challenges, identifying solutions, and facilitating decision-making.

  • Lead and support special projects, executive initiatives, and cross-functional programs by establishing objectives, tracking milestones, monitoring progress, and driving execution.

  • Support organizational operating rhythms, including leadership meetings, business reviews, team checkpoints, offsites, and all-hands meetings.

  • Continuously identify opportunities to improve administrative processes, communication flow, and operational efficiency.

Communication & Stakeholder Management

  • Act as a central communication hub between executives, leadership teams, cross-functional partners, customers, and external stakeholders.

  • Manage executive relationships and external contacts, proactively understanding stakeholder priorities and maintaining effective communication channels.

  • Collaborate closely with executive assistants, business partners, and the Office of the CEO to ensure seamless coordination across teams and priorities.

  • Exercise exceptional judgment, professionalism, discretion, and confidentiality in all interactions.

Meeting & Event Management

  • Attend meetings as needed, communicate agendas, capture notes, track action items, and ensure accountability for commitments.

  • Coordinate senior leadership meetings, strategic planning sessions, offsites, and all-hands events.

  • Plan and execute large-scale, multi-day meetings and offsites, including venue selection, contract negotiation, vendor management, travel logistics, catering, team-building activities, and budget coordination.

Project Management & Accountability

  • Drive follow-through on commitments by tracking deliverables, surfacing deadlines, and ensuring timely execution across stakeholders.

  • Address complex issues by identifying root causes, building consensus, and driving resolution.

  • Maintain a high level of personal accountability while encouraging the same standards across teams.

  • Support onboarding and integration of new team members as needed.

Additional Responsibilities:

  • Perform other duties and special projects as assigned.

  • Travel occasionally as business needs require.

What You'll Need:

  • Bachelor's degree or equivalent combination of education and relevant experience.

  • 7–10+ years of experience supporting senior executives, Vice Presidents, C-level leaders, or Executive Leadership Team members in a fast-paced, high-growth, or highly matrixed environment.

  • Demonstrated success managing complex calendars, international travel, and competing priorities with minimal oversight.

  • Exceptional organizational skills, attention to detail, and ability to manage multiple priorities simultaneously.

  • Strong project management skills with the ability to drive initiatives from conception through completion.

  • Excellent written and verbal communication skills with a polished and professional presence.

  • Proven ability to handle highly sensitive and confidential information with discretion.

  • Strong judgment, critical thinking, problem-solving, and decision-making capabilities.

  • Self-starter with the ability to work independently while collaborating effectively across teams.

  • Service-oriented mindset with a passion for supporting high-performance leaders and teams.

  • Ability to remain calm, adaptable, and highly effective under pressure.

  • Proven experience utilizing AI technologies to enhance decision-making, streamline workflows and processes, improve efficiency and drive business outcomes.

Preferred Qualifications:

  • Experience supporting Executive Leadership Team members, C-level executives, or senior leaders in technology, cybersecurity, product, engineering, operations, or innovation-focused organizations.

  • Experience leading executive projects, business operations initiatives, or cross-functional programs.

  • Expertise with Google Workspace, Microsoft Office Suite, Slack, Workday, expense management, travel, presentation, and collaboration tools.

  • Experience planning and executing executive meetings, leadership offsites, and large-scale events.

  • Familiarity with AI, generative AI, and productivity technologies that improve executive efficiency.

  • Track record of building trust quickly and operating as an extension of executive leadership.

Success Profile:

The successful candidate creates leverage for executive leaders by bringing structure, speed, precision, and exceptional judgment to every aspect of executive support.
