Role Title: Executive Assistant to Head of HR India
Location: India
Reporting to: Head of HR India
Role Purpose
Enable the Head of HR India to operate at peak effectiveness by running a tight, reliable executive support engine. The role provides meaningful leverage through strong calendar and travel management, disciplined follow through on priorities, and high-quality coordination of leadership interactions that shape culture and execution across India.
The Executive Assistant acts as a central connector across HR, business leaders, site teams, and partners. Success shows up as disciplined execution, reliable follow through on decisions, seamless leadership and client visits, and consistently high quality employee experiences across offices.
Key Responsibilities
Executive Support
- Manage a complex calendar across multiple time zones, prioritizing high value interactions and anticipating conflicts.
- Prepare agendas, briefing notes, pre reads, and follow ups for key meetings.
- Act as a gatekeeper with sound judgment on priority, urgency, and escalation.
- Handle confidential and sensitive information with absolute discretion.
- Manage end to end business travel itinerary for the senior leader, including bookings, changes, and day to day coordination as needed.
India and North America Leadership Visits and Client Visits
- Own end to end coordination of India visits for North America leaders and India based client visits, including schedules, logistics, and stakeholder alignment.
- Coordinate with internal Facilities, IT, Security, Admin, and HR teams to deliver seamless visit experiences.
- Manage multiple external vendors including travel, transport, hotels, event partners, catering, and printing, ensuring consistent service quality.
- Capture feedback after each visit, identify improvement opportunities, and drive continuous improvement of visit standards and playbooks.
- Build and maintain visit templates, checklists, and risk controls including security and contingency planning.
Operational and Analytical Support
- Build and maintain structured trackers and dashboards and perform high level analysis using Excel.
- Run a strong follow up cadence for group meetings chaired by the Head of HR, including action capture, ownership, timelines, reminders, and closure.
- Track commitments, actions, and deadlines across HR and business stakeholders and ensure completion.
- Support preparation of leadership materials with strong attention to detail.
- Support onboarding for new HR team members through coordination of logistics, calendars, and first week structure.
Employee Events and Office Experience
- Partner with other executive assistants and site teams to plan and execute location level employee events, leadership forums, town halls, and office experiences.
- Improve quality, consistency, and impact of office events through better planning discipline, vendor performance management, and feedback loops.
- Own event logistics and on the day coordination to ensure a professional and engaging employee experience.
- Maintain a rolling events calendar and capture learnings to improve repeatability and impact.
Expense Reimbursement and Administrative Processes
- Manage the expense reimbursement process for the Head of HR India, ensuring policy compliance, timely submission, and closure.
- Coordinate with Finance and relevant internal teams on approvals, exceptions, and process improvements.
- Maintain accurate records for audits and controls, including invoices and supporting documentation.
Process and Rhythm Management
- Establish and maintain operating rhythms for the Head of HR India including weekly reviews, monthly cycles, and quarterly people forums.
- Create simple mechanisms that reduce friction such as trackers, templates, and clear handoffs.
- Identify recurring issues and implement practical improvements that raise execution quality.

- Strong experience as an Executive Assistant supporting senior leaders in a fast paced environment.
- Strong Excel capability with comfort in analysis, reporting, and building structured dashboards.
- Excellent organizational skills with high attention to detail.
- Strong stakeholder management across senior leaders, vendors, and internal teams.

Experience and Qualifications
- 5 + years of experience as an Executive Assistant or similar role supporting senior leaders.
- Experience coordinating leadership and client visits and multi vendor logistics preferred.
- Strong MS Office skills required with Excel proficiency expected.
- Experience supporting HR (preffered), people functions, or large matrix organizations preferred.

- The Head of HR India operates with greater focus and fewer execution distractions.
- Group forums chaired by the HR Head have clear inputs, strong follow through, and reliable closure.
- Leadership and client visits are seamless and improve in quality over time.
- Office events are consistently high quality and contribute meaningfully to employee experience.
- Administrative, expense, and vendor processes are clean, compliant, and closed on time.
