We have an exciting opportunity for an experienced Executive Assistant to partner closely with our Group Executive (directly supporting FMH Group’s CEO, COO, CFO and CLRO) team during a period of growth and transformation. This is a pivotal role for someone who thrives in fast-paced environments, enjoys being one step ahead, and takes pride in keeping executive leaders focused, organised and moving forward. From managing complex diaries and travel arrangements, preparing Board materials, and minuting executive management meetings, to coordinating meetings, events, and key projects, you’ll serve as a trusted right hand to the executives, while also playing a vital role in ensuring the smooth day-to-day running of the office and fostering an efficient, well-organised workplace.


Requirements

The Role:

  • Provide high-level executive support to the C-Suite Leaders, including calendar management, communication handling, and confidential documentation.
  • Act as a key liaison between the C-Suite Leaders and internal/external stakeholders.
  • Prepare and edit reports, presentations, and other executive materials including Board materials.
  • Manage travel arrangements, expense tracking, and budget support.
  • Attend meetings, take minutes, and ensure timely follow-up on action items.
  • Assist company secretary with company secretarial tasks such as updating ASIC.  
  • Support office management, events, and special projects.

The Person:

  • Proven experience providing high-level executive support to a C-Suite.
  • Demonstrated ability to manage complex diaries, travel, meetings, and stakeholder communications with a high level of attention to detail, discretion and professionalism.
  • Strong knowledge of governance processes, including preparation of Board papers, agendas, and accurate minute-taking.
  • Experience in building and maintaining effective relationships with a wide range of internal and external stakeholders.
  • Demonstrated organisation skills, including the ability to set priorities, manage time and plan work to meet deadlines.
  • A strong ability to adapt to changing environments and navigate ambiguity.
  • Well-developed written and verbal communication skills.
  • Maintains confidentiality and handles sensitive information with discretion and professionalism.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with digital collaboration tools (e.g., Teams, SharePoint, or similar).
