What You'll Do
- Manage complex calendars and schedule meetings across multiple time zones, ensuring alignment with business priorities.
- Manage scheduling requests, prioritizing meetings based on urgency and business needs for executive and leadership team members based in Europe and the UK.
- Plan and coordinate international travel arrangements, itineraries, and accommodations for team members attending client meetings, conferences, and events.
- Support in planning, coordinating and executing the logistics and scheduling of board and investor meetings, leadership and department offsites, and other key meetings. This includes agenda preparation and follow-ups.
- Track key deadlines, deliverables, and follow-ups to ensure timely execution of initiatives.
- Liaise with internal and external stakeholders, including clients, vendors, and partners, to facilitate seamless communication
- Support administrative tasks, such as expense reporting, procurement requests, and document management.
What You Have
- 2+ years of experience in a similar administrative role supporting senior leaders.
- Proven ability to manage multiple priorities in a fast-paced, dynamic environment.
- Strong organizational skills and attention to detail, with the ability to anticipate needs and take initiative.
- Excellent communication and interpersonal skills, with the ability to work across teams and cultures.
- A proactive, adaptable mindset and ability to handle sensitive information with discretion.
- Proficiency in Google Workspace and experience with collaboration tools such as Slack, Google Hangouts.
- Ability to work independently while maintaining a strong sense of teamwork and collaboration.
- This role occasionally requires flexibility, particularly when leaders are travelling or when key meetings take place outside regular office hours.
- Strong written and verbal communication skills in both English and Dutch.
