- Calendar & Time Management: Coordinate and maintain complex calendars, proactively resolving scheduling conflicts and prioritizing high-impact meetings, while adapting to last-minute changes with ease.
- Meeting & Event Coordination: Organize logistics for meetings and events, including agendas, materials, room bookings, and catering.
- Communication Management: Draft and proofread internal and external communications on behalf of the executive(s). Monitor and triage email correspondence, escalating as appropriate.
- Travel & Expense Support: Arrange travel and accommodations. Prepare and reconcile expense reports in a timely manner.
- Document & Records Management: Prepare and format documents and presentations.
- Maintain organized digital and physical filing systems.
- Cross-functional Liaison: Serve as a point of contact for internal and external stakeholders, representing the executive office with professionalism.
- Office & Project Support: Assist with general office tasks such as printing, filing, courier coordination, and greeting visitors. Collaborate with Senior Executive Assistants on special projects and initiatives as needed.
- Digital Savviness: Leverage digital tools and platforms (e.g., Zoom, DocuSign, cloud based systems) to support virtual collaboration, document sharing, and workflow optimization.
Let's Talk about You!
- 3-5 years of experience in an administrative or executive assistant role, ideally within financial services or a regulated industry.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., MS Teams, SharePoint, Concur).
- Strong written and verbal communication and interpersonal skills.
- Excellent organizational skills, with high attention to detail and accuracy.
- Ability to manage multiple priorities and adapt to changing demands.
- Proven ability to manage sensitive information with integrity and discretion.
- Bilingualism (English/French) is an asset.
- Post-secondary education in business administration or a related field is preferred.
