We are currently looking for an Executive Assistant to support senior leadership in our Asia Pacific and Japan team based in Singapore, including our Vice President Human Resources, APJ. The ideal person for the job will be a savvy communicator and comfortable managing expectations of senior leadership. Given the changing nature of the executive landscape, we rely on our assistants for flexibility and foresight, while maintaining a high degree of confidentiality and attention to detail. This role will support at least 2 senior leaders.
Job Responsibilities:
- Handle professional scheduling including agendas, mail, email, calls for the executives
- Lead, coordinate, and arrange travel and travel-related activities, including hotel booking, transportation, and meal coordination for the leaders
- Perform administrative and office support, such as spreadsheet creation, and maintenance of filing system and contact database
- Maintain integrity, professionalism and a high degree of strict confidentiality with all materials, and exercise discretion when collaborating with the business
- Coordinate team communications and plan events, both internally and offsite
- Contributes to team effort by accomplishing related results as needed.
- Builds their EA network between country, regional and global assistants
- Any other tasks as assigned
Skills and Qualifications:
- Superb written and verbal communication skills
- Strong time-management skills and the ability to prioritize and coordinate multiple projects for stakeholders at once
- Proficiency in Microsoft Teams and Office suite of tools and other office productivity tools, with ability to learn new software and systems
- Flexible team player who is willing to go above and beyond to get the job done; adaptable and enjoys a challenge
Education and Experience Requirements
- Bachelor’s degree preferred, but not required
- 8+ years of executive assistant experience supporting senior executives
- Experience supporting HR leadership preferred but not required
