Who You Are:

You are extremely organized, solution-seeking and detail oriented with a demonstrated ability to multi-task and anticipate the needs of the Executive. You have an innate ability to effectively communicate with Executive management and the Board of Directors and demonstrate professionalism, discretion and a high level of confidentiality at all times. You are a team player and have the ability to work collaboratively with others.

What You’ll Do:

  • Provide a broad range of routine administrative support services to the General Counsel & Chief Sustainability Officer and Executive’s direct reports
  • Answer and screen incoming calls, and coordinate and maintain calendars
  • Draft routine correspondence, memoranda and e-mail responses
  • Maintain files
  • Coordinate travel arrangements
  • Prepare expense reports
  • Process legal and other vendor invoices
  • Review and direct to the appropriate person incoming correspondence, emails and mail
  • Prepare event and meeting materials, including assisting with creating agendas, presentations, and other related materials as well as collating materials for team meetings, management meetings and meetings of the Board of Directors
  • Coordinate conference / meeting room set-up, order catering and make logistical arrangements for team meetings, management meetings and meetings of the Board of Directors
  • Establish and maintain effective and cooperative business relationships with the Board of Directors, all levels of management, employees within and outside the department and outside law firms and vendors
  • Facilitate and coordinate communications and administrative procedures across the team
  • Develop relationships with other executive assistants in the organization
  • Assist with some office/personal related errands as needed
  • Perform other activities, projects and tasks as assigned from time to time

You’ll Need to Have:

  • Bachelor’s Degree required
  • 0-3 years of experience with prior administrative support experience preferred.
  • Excellent interpersonal, verbal & written communication skills and ability to interact with C-Suite and Board of Directors Demonstrated ability to maintain a high level of professionalism and confidentiality
  • Has the ability to problem-solve, be forward thinking and anticipate needs of executive
  • Self-starter with a can-do attitude that can work independently
  • Team player with ability to collaborate with a diverse range of people and functions
  • Ability to be proactive and flexible
  • Exceptional organizational skills
  • Must be detail oriented and able to multi-task and prioritize
  • Able to work in fast-paced environment and respond to tight deadlines
  • Must be tech savvy and be proficient in MS Excel, PowerPoint, Outlook and Word

Compensation Range: 

$44,000.00-$73,000.00
