Job Summary
Zoro is looking for a highly organized, proactive Executive Assistant to join our team in Chicago. In this role, you’ll serve as a trusted business partner to our executives, providing steady, day-to-day support that keeps priorities clear and work moving.
This role requires a strong understanding of Zoro’s goals and values. You won’t just manage tasks — you’ll help protect leaders’ time, anticipate needs, and support the work that helps businesses and their people thrive.
Beyond executive support, you’ll partner with our HR team on projects and collaborate with our Office Manager to support in-office events and team engagement. You’ll play a key role in creating a workplace that’s organized, connected, and ready to get the job done.
This role will be based in our Chicago office and will have a requirement of at least 3 days onsite.
You will:
- Own and proactively manage leaders’ time and priorities - Lead strategic calendar management, resolving conflicts and ensuring leaders are focused on the highest priorities. Plan and execute meetings end to end, including materials, notes, action items, virtual facilitation, and follow-up.
- Act as a trusted partner - Anticipate challenges and proactively recommend practical solutions and process improvements. Provide steady, reliable support that keeps leaders organized, prepared, and focused.
- Support inbox and communications management - Prioritize and triage emails, draft responses, and manage follow-ups with staff and vendors. Track key communications to ensure timely responses and task completion.
- Manage travel and expenses - Coordinate domestic and international travel, ensuring all logistics and documentation are in place. Submit and track expenses for timely approval and compliance.
- Prepare and manage key documents - Draft, edit, proofread, and distribute presentations, reports, surveys, and department communications. Maintain organized, accurate records and version control across materials.
- Support team operations - Coordinate cross-functional scheduling and departmental processes on behalf of leaders. Manage department supplies and budget, and provide backup support to administrative partners as needed.
You Have:
- 3+ years of administrative experience
- Experience in supporting multiple executive leaders and/or departments
- An anticipatory approach, and experience managing complex administrative details and determining best approach/action to use in non-routine situations.
- Excellent organizational, communication, and problem-solving skills.
- Strong verbal and written communication skills
- Ability to handle sensitive information with confidentiality and discretion.
- Demonstrated ability to work independently and make informed decisions in the absence of the executive.
- Professional demeanor and the ability to build positive relationships with stakeholders.
- Worked with detailed knowledge of business operations, organizations and relationships involved at top management levels.
- Strong proficiency with Google Workspace, Slack, ChatGPT or similar AI tools
- Onsite support Monday through Thursday between the core hours of 8:30am - 4:30pm CST, with flexibility before and after depending on the needs of the office.
Compensation:
This position is hourly. Below is the anticipated base pay compensation range for this position.
