REQUIRED SKILLS:
- The ideal candidate should have a minimum of 3-5 years’ experience as an executive assistant at the C-level.
- Can successfully handle complex global travel and logistical arrangements with minimal notice.
- Ability to prioritize, work independently, and manage multiple simultaneous assignments and a broad scope of responsibilities.
- Anticipates issues before they happen and plans option-based contingencies.
- Hard working, highly efficient, and detail oriented while maintaining accuracy in performance.
- Strong computer skills including experience using the Microsoft suite of software products (Outlook, PowerPoint, Word, Excel and Teams).
- Superior oral and written communication skills demonstrated with both clients and the C-level.
- Strong problem-solving skills, exhibiting good judgment when making decisions.
- Self-motivated, possessing a positive “can-do" attitude and desire to help others, where schedules permit.
- Knows when/how to be assertive to get things done and can effectively work in a space of autonomy.
- Quick to respond to requests and completely dependable on follow-through.
- Demonstrated ability to handle sensitive, confidential information.
- Versatile individual with a high standard of integrity.
- Ability to work well under pressure and with a sense of urgency while maintaining composure.
PRIMARY RESPONSIBILITIES:
- Support three C-level executives and be apart of an EA team supporting nine C-level executives.
- Calendar management; anticipate calendar risk & plan contingencies with multiple options. Must have an ability to clear conflicts with little or no direction.
- Travel arrangements, including flights, hotels, ground transportation, guest travel, etc.
- Clerical duties (answer phones, data entry, filing, etc.).
- Interact with service providers (hotels, car service, etc.).
- Pro-actively anticipate executives’ needs.
- Support executive team with other duties/projects as required.
- Ensure a positive, professional experience for meeting guests & customers
- Prepare expense reports and have a working knowledge of the Concur expense and travel platform.
- Organize and execute events, such as lunches, dinners, meetings, trainings, conferences, etc.
- Develop and maintain a knowledge of the organization.
Work Hours and Travel Schedule:
- This role is supporting C-level, which therefore requires planned and unplanned occasional work outside of the 40-hour work week. This could include working the occasional weekend and evenings.
- Occasional business travel to support executive activities.
