About the Role:

Are you an Executive Assistant looking for an opportunity to broaden your skills and experience?

If so, we have an exciting opportunity for an experienced EA to join Everest Reinsurance supporting the London Underwriting Leadership Team. This position will be based in our London office in the heart of The City and will report directly to a Head of UK Branch & Chief Underwriting Officer.

This person will provide support with such tasks as diary and inbox management, international travel arrangements, planning and organising meetings, processing expenses and event planning. There are endless learning opportunities associated with this role and with direct support from the Head of UK Branch & Chief Underwriting Officer the successful individual will be able to gain a deeper understanding of the reinsurance business and get involved in additional tasks such as reporting and data analysis.

This position offers a hybrid schedule of working two days remote each week.

Role & Responsibilities (include but not limited to):

Extensive diary and travel management, including:

  • Maintain and manage a busy diary, ensuring that time is effectively planned, there are no scheduling conflicts and considering current priorities and the need for focus time.

  • Planning and organising meetings, both internally across Everest Group and with external parties.

  • Organising local and international travel and preparing complex travel itineraries, incl. compiling of travel packs to include itineraries, hotel bookings, visas, contact details and boarding passes where appropriate.

Preparation for meetings and administrative support including:

  • Preparing & reviewing papers and packs for meetings.

  • Creation of presentations and client packs using PowerPoint and other Microsoft office packages

  • Full coordination of meeting scheduling and cycles ensuring preparation time for meetings; creation of meeting agenda’s; taking minutes at meetings; making sure action points are followed up on in a timely fashion.

  • Inbox management - monitoring emails to ensure appropriate and timely responses are given. Maintaining filing/storage of messages and flagging urgent requests.

  • Planning and organising events for Actuarial & Finance and Claims teams (team off-sites/social events).

  • Fully responsible for preparation and submission of expense claims using the Expense Management system (Concur) and reviewing team expense claims.

  • Management of holiday requests, ensuring the Executive is aware of requests and no key person dependencies overlap.

  • Ensure the Executive is up to date with any training requirements/CPD//Workday requests.

  • Assistance with the onboarding of new team members when required.

  • Answering calls when required and liaising with clients and business partners.

  • Partner with Existing EA’s & PA’s, both UK and US based to ensure urgent requests are accommodated and support with other miscellaneous tasks.

  • Plan all social and private events on behalf of CUO according to specific requests.

  • Supporting CUO with report creation and analysis of data where required.

  • General ad-hoc administrative duties in office and remotely as requested.

Qualifications:

  • Executive Assistant/Team Assistant experience, supporting executive leadership teams essential.

  • Experience supporting more than one person with a proven track record of implementing creative solutions to the challenges of co-ordination of work and diaries.

  • Proven experience managing high-level, complex diary and travel management.

  • Re/insurance experience would be preferable. 

Knowledge, Skills & Competencies:

  • Strong interpersonal skills and a confident communicator.

  • Ability to manage several stakeholders with competing demands.

  • Can work with discretion and use experience and judgement to involve appropriate people in processes and decision making.

  • A willingness to learn and solve problems and work proactively with minimal supervision.

  • Excellent attention to detail, time management and organisational skills.

  • Co-ordination, planning and organisation skills with the ability to prioritise tasks and adapt to new and changing priorities.

  • Excellent IT skills, proficient in Microsoft Word, PowerPoint, Excel and Adobe Acrobat.
