Job Summary:

As an Executive Assistant at ID5, you will play a crucial role in supporting our CEO and the broader executive team. Your expertise will help streamline operations, ensuring the smooth functioning of our fast-paced, tech-driven environment.


Key Responsibilities:

As the Executive Assistant, you will play a pivotal role in enhancing the efficiency of our executive team. Your foresight and meticulous attention to detail will be crucial in anticipating the needs of our leaders, ensuring they can focus on their primary responsibilities without distraction. This role is not just about managing tasks but about making strategic decisions that smooth daily operations and remove friction, thereby allowing our executives to operate more effectively and make decisions swiftly. By staying ahead of the curve, you contribute directly to the productivity and success of our team.

  • Provide comprehensive administrative support to the CEO and executive team, including calendar management, meeting coordination, and travel arrangements.
  • Arrange and coordinate meetings, conferences, and events for the CEO and executive team. Prepare agendas, briefing materials, and presentations. Take minutes and follow up on action items.
  • Act as a point of contact between executives and employees, demonstrating exceptional communication skills.
  • Plan and coordinate domestic and international travel for the CEO and executive team, including flights, accommodations, transportation, and itineraries. Ensure travel plans align with business objectives and personal preferences.
  • Prepare and edit correspondence, reports, and presentations.
  • Organize and manage logistics for team events, meetings, and conferences. (weekly all hands, quarterly Executive Seminars, Department offsite meetings and Company offsites)
  • Handle confidential information with discretion and integrity.
  • Assist in project management and execution of strategic initiatives.
  • Collaborate with different teams to foster a cohesive and productive working environment.

Required Qualifications:

  • Minimum of 2 years of experience as an Executive Assistant, preferably in a startup environment.
  • Exceptional written and verbal communication skills in both English and French.
  • Very autonomous, able to work independently and familiar with the dynamics of a remote working culture
  • Strong problem-solving and decision-making skills with the ability to think critically and offer solutions to complex issues.
  • Excellent organizational skills and attention to detail.
  • Proficiency in the Google Suite (required) and Notion (preferred).
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proactive attitude with the ability to anticipate needs and take initiative, and a strong willingness to be helpful and supportive.
  • Fast learner with the ability to quickly adapt to new tasks, technologies, and processes.
  • Quarterly travel in Europe is to be expected as well as weekly in-person meetings at the office in London.
