You will manage both routine and non-routine activities, build trusted relationships with internal and external stakeholders, and handle sensitive information with absolute discretion and confidentiality. The successful candidate will be collaborative, solutions-focused and comfortable taking ownership of tasks from planning through to completion.

  • Manage complex diaries, schedule meetings and calls, coordinate meeting logistics and anticipate potential conflicts or changes.
  • Coordinate domestic and international travel, including itineraries, accommodation and related arrangements.
  • Prepare, draft, edit and format correspondence, reports, spreadsheets and PowerPoint presentations to a high professional standard.
  • Initiate conflict-clearance and internal approval processes for new matters, and maintain accurate client and matter information.
  • Coordinate new client and vendor set-up, maintain contact lists and liaise with third-party service providers.
  • Manage financial administration, including time and expense recording, credit card reconciliations, invoices, billing information and support with debt collection.
  • Plan and coordinate internal, external and client events, including invitations, venues, catering and supporting materials.
  • Respond professionally to general enquiries and act as a trusted point of contact for internal and external stakeholders.
  • Work collaboratively with Executive Assistants, office administration colleagues and other business functions to provide seamless coverage and support.
  • Contribute to the smooth running of the office and undertake research, projects and other ad hoc tasks as required.

How You’ll Grow

This role offers the opportunity to partner closely with senior leaders, gain exposure to complex and high-profile client work, build a strong internal and external network, and further develop your professional, commercial and stakeholder-management skills. You will also have opportunities to share knowledge, support colleagues and contribute to a collaborative administration community.
