O’Reilly-Wooten Offices is seeking an experienced Executive & Personal Assistant to provide trusted administrative, financial, and personal support to the O’Reilly family. The Executive & Personal Assistant will manage a variety of responsibilities across business, household, financial, and administrative needs. Essential Job Functions
- Provide high-level executive, administrative, and personal support to Larry O’Reilly and family.
- Manage bill payments and deposits associated with personal and property-related accounts.
- Track expenses, maintain receipts, reconcile credit cards and bank accounts, and monitor account balances.
- Coordinate payroll activities for employees.
- Assist with investment tracking, portfolio information, and related financial records.
- Coordinate information and requests with tax, legal, banking, investment, and other professional advisors.
- Support board-related administration, organization, and coordination as needed.
- Assist with property management activities and associated administrative needs.
- Coordinate general office activities, including supplies, incoming calls, visitors, correspondence, and deliveries.
- Complete personal, family, and business errands and other requests as needed.
- Anticipate upcoming needs, maintain appropriate follow-up, and help keep priorities and commitments organized.
- Handle sensitive financial, business, and personal information with the highest degree of confidentiality, integrity, and discretion.
Qualifications:
Required:
- Six or more years of experience as an executive assistant, personal assistant, administrative professional, or in a similar role.
- Excellent written and verbal communication skills with strong knowledge of English grammar and composition.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- High degree of professionalism, discretion, integrity, dependability, and sound judgment.
- Ability to learn quickly, work independently, and adapt to changing priorities.
- Strong interpersonal skills and the ability to work effectively within a close-knit office and family environment.
- Valid driver's license and clean driving record.
Preferred:
- Previous experience within a family office, financial institution, or similar environment.
- Experience supporting financial, investment, property management, payroll, or family-office activities.
Schedule & Work Environment:
This is a four-day-per-week position based in Springfield, Missouri, generally working 9:00 a.m. to 4:00 p.m. The typical schedule is anticipated to provide flexibility may occasionally be needed based on family, office, and business needs.
The position works within a small, close-knit office of approximately 10 people. The environment is collaborative, relationship-focused, and grounded in a willingness to help where needed. Because of the nature of the role, the Executive & Personal Assistant should be comfortable providing both professional and personal support while consistently maintaining confidentiality, professionalism, and discretion.
