Position Summary:The Executive Assistant provides dedicated executive and administrative support to the Regional VP, Australia, and the local leadership team. This role is responsible for anticipating needs, coordinating priorities, managing day-to-day administrative activities, and ensuring effective follow-through across leadership commitments.
The Executive Assistant will work closely with the Regional VP and local leadership to coordinate meetings, communications, travel, documentation, and other business activities. The role requires a high level of organization, discretion, initiative, and attention to detail, with regular access to confidential and sensitive business information.
The role will primarily support the Regional VP, Australia, while providing administrative and coordination support to the local leadership team as required.

Essential Responsibilities / Duties


  • Provide proactive executive and administrative support to the Regional VP, Australia, including diary/calendar management, expenses, travel coordination, and basic budget administration. 
  • Manage and maintain the Regional VP's calendar, coordinating meetings and balancing competing priorities across internal and external stakeholders. 
  • Coordinate leadership and team meetings, including agendas, pre-reading materials, logistics, and tracking follow-up actions. 
  • Prepare, format, and maintain documentation, reports, presentations, and briefing materials, ensuring accuracy and version control. 
  • Draft and coordinate routine communications and correspondence on behalf of the Regional VP and local leadership team. 
  • Act as a key point of contact for internal and external stakeholders, triaging requests and escalating where required. 
  • Support travel arrangements, leadership events, team activities, and general administrative activities. 
  • Support local leadership with general administrative coordination and business activities as required. 
  • Assist with projects and ad hoc business initiatives, taking initiative to support business priorities and ensuring timely follow-through. 
  • Demonstrate strong organization, attention to detail, and follow-through across all tasks. 
  • Maintain a high level of confidentiality and discretion when handling sensitive business and employee information. 
  • Proactively identify administrative needs, improve ways of working, and help the Regional VP and leadership team operate effectively. 
  • Manage competing priorities and requests by establishing clear priorities and escalating conflicts or capacity concerns to the appropriate leader. 
  • Contribute to team effectiveness by supporting ways of working and continuous improvement. 

Minimum Requirements


  • 2+ years' experience in an Executive Assistant, Team Assistant, or administrative role within a medium to large organization. 
  • Experience supporting senior stakeholders; exposure to a multi-national environment is advantageous.
  • Strong organizational and time management skills, with the ability to manage competing priorities.
  • Excellent written and verbal communication skills with high attention to detail.
  • Proficiency in Microsoft 365 (Outlook, Teams, Word, PowerPoint, and Excel).
  • Demonstrated ability to handle confidential information with discretion and professionalism.
  • Strong interpersonal skills with the ability to build effective working relationships.
  • Proactive, adaptable, and able to work both independently and within a team in a fast-paced environment.
  • Ability to anticipate needs, exercise sound judgment, and follow through on commitments.

Preferred Experience


  • Previous experience providing dedicated support to a VP, executive, or senior leadership team.
  • Experience working in a multinational or technology/software organization.
  • Experience coordinating business projects, leadership initiatives, or cross-functional activities.
  • Relevant tertiary qualification or equivalent combination of education and experience.

Working Model and Hours 


This role follows a hybrid work model, with regular in-office presence required at our Melbourne office (Tuesdays–Thursdays).

The role will primarily operate during Australian business hours


Reporting and Prioritization


The Executive Assistant will report to Nicholas Gallus and will primarily support the Regional VP, Australia.

Where requests arise from multiple leaders or competing priorities, the Executive Assistant will work with the Regional VP and relevant leadership stakeholders to establish priorities and ensure clear accountability and follow-through.

The annual salary range for this role is: $80,000- $90,000 AUD. The actual salary offered will be determined based on the factors listed above and may fall anywhere within the range.
