Sunflower Bank, N.A. is looking for an energetic, highly motivated individual to fill the position of a full-time Executive Assistant in Houston, TX.

Description:

The Executive Assistant is responsible for providing diverse and confidential administrative support to senior management and teams within their line of business including extensive calendar management.

Key responsibilities include supporting management with administrative tasks, managing the needs of the office, coordinating travel arrangements, processing expenses, and gathering and reporting information relevant to/for the executive.

Job expectations may include assisting with organizing in-person meetings and off-sites and managing different and conflicting objectives, projects, or activities in a responsive and personable manner.

The successful individual requires organizational skills, attention to detail, and the ability to manage both individual tasks and joint team responsibilities effectively.

Responsibilities:

Calendar & Schedule Management

• Maintain rigorous, dynamic calendars for multiple senior sales directors or vice presidents, resolving priority conflicts proactively.

• Coordinate high-stakes internal strategy sessions and external client pitches or earnings calls.

• Manage meeting logistics, including booking conference rooms, setting up Teams, and preparing dial-in data.

• Coordinating with clients and the distribution of materials for events held outside of the office. 

Client & Stakeholder Communication

• Act as a professional initial point of contact for high-net-worth clients, corporate partners, and internal stakeholders.

• Handle incoming inquiries, route client requests to appropriate account executives, and draft professional correspondence.

• Track client follow-up items and assist with CRM (Customer Relationship Management) database updates and pipeline tracking.

Sales Reporting & Document Preparation

• Compile, format, and proofread sales reports, pitch decks, and financial presentation materials using PowerPoint and Excel.

• Gather analytics and generate weekly or monthly sales metrics reports for executive review.

• Process complex travel itineraries, corporate travel arrangements, and monthly expense reports with high accuracy.

Compliance & Discretion

• Maintain absolute discretion regarding sensitive client financial data, account metrics, and internal banking strategies.

• Adhere to corporate compliance, risk management frameworks, and internal security policies.

• Perform the job in accordance with applicable industry laws and regulations as well as the policies and procedures established by the company.

Education / Experience Preferred:

  • Experience: 4+ years of administrative experience, preferably supporting a sales, commercial banking, or fast-paced corporate environment.
  • Technical Skills: Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and familiarity with virtual meeting platforms.
  • Soft Skills: Exceptional time management, stellar interpersonal communication and interaction, and acute attention to detail.
  • Education: Post-secondary degree or equivalent practical experience in business administration or a related field.
  • Work hours will vary.
  • Must be able to work flexible hours.

Pay is dependent on knowledge, skills, abilities, experience, and location.

Working Conditions

The physical demands of this position require the ability to perform essential job functions with or without reasonable accommodation. Employees may spend extended periods sitting or standing, using hands to operate computers or other equipment, and reaching for work-related tasks. Regular walking may be required, along with occasional bending, stooping, kneeling, or climbing. The role may involve lifting or moving items weighing up to 10 pounds. Vision requirements include close and distance vision, color and peripheral vision, depth perception, and the ability to adjust focus.
