Job Description
The Executive Assistant is dynamic and personable professional with a proven track record providing top notch support. The primary goal is to greet and welcome guests providing a warm and welcoming experience. The role also provides administrative support to various team members.Essential Duties and Responsibilities:
Overseeing all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence.
Preparing documents, e.g. meeting agendas, invoices, etc.
Filing important documents, such as reports, meeting notes, emails, and letters.
Keeping the executive’s calendar up-to-date, including adding events, rescheduling appointments and providing daily briefings.
Arranging travel, and keeping track of travel itineraries for executives and their teams.
Preparing and submitting monthly expenses in Concur.
Acting as the gatekeeper for internal and external contacts, including vendors, colleagues, clients, and customers.
Conducting research and creating reports on various topics based on the needs of the executive.
Planning and organizing events that take place in the office or externally, such as fundraisers, sporting tournaments, and social events.
Keeping important information and documents organized physically, and electronically.
Maintaining a high degree of discretion and confidentiality.
