Job Description
Key Accountabilities
Reporting to the Managing Director, Investments, we are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to members of the Renewable Power & Transition Executive Team and their direct reports. This role will primarily support senior leaders across Investments, Investor Relations, and Portfolio Management.
The successful candidate will be a self-starter with exceptional attention to detail, professionalism, and discretion. The ability to thrive in a fast-paced environment, manage competing priorities, and maintain a positive and solutions-oriented approach under pressure is essential.
Responsibilities:
Provide comprehensive calendar and scheduling management for senior executives, including coordination of complex and dynamic meeting schedules.
Coordinate domestic and international travel, including detailed itineraries and logistical support.
Support event planning and project management activities as required.
Prepare and edit high-quality presentations in PowerPoint, incorporating charts, graphs, and visual elements to effectively convey key messages.
Manage document preparation and distribution for internal and external meetings, ensuring accuracy and timeliness.
Review, process, and reconcile vendor invoices and expense reports; maintain accurate financial tracking in accordance with company policy.
Manage incoming communications, including email, phone, and correspondence, ensuring timely and appropriate follow-up.
Provide support to other Executive Assistants during peak periods, absences, or high-demand projects.
Support onboarding activities for new employees, ensuring their smooth transition.
Participate in ad hoc office and operational projects, including process improvement and documentation management initiatives.
Requirements:
Minimum 5 years of administrative experience, preferably supporting senior executives in a corporate environment.
Proven ability to handle confidential and sensitive information with the utmost discretion.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with Concur or similar expense management systems is an asset.
Exceptionally organized with the ability to anticipate needs and act proactively.
Strong written and verbal communication skills, with keen attention to detail.
Ability to manage multiple priorities efficiently while maintaining a high standard of accuracy.
Demonstrated ability to work independently and collaboratively within a team environment.
Strong interpersonal skills, sound judgment, and a professional demeanor.
Flexibility to work overtime as required.
Salary Range: $80,000 - $100,000 CAD
