What you will be doing- Provide proactive, executive administrative support to the President across day-to-day responsibilities and special projects related to projects and operations.
- Act as a key point of contact between the President, senior leadership, employees, clients, and external stakeholders.
- Prepare business expense and mileage reports, review and process invoices, schedule meetings and manage the President's calendar.
- Coordinate travel arrangements including detailed itineraries, multi-segment bookings and required documents.
- Coordinate and participate in team meetings, manage agenda items and record and distribute minutes
- Prepare reports and presentations for meetings, using data, spreadsheets, and guidance from executive leadership.
- Assist with corporate events, leadership meetings and strategic activities by arranging logistics including facilities, catering, invitations and speakers.
- Maintains knowledge of Company’s values and strategic plan.
- Support published corporate policies.
- Diploma in Office or Business Administration preferred.
- 5 - 10 years administrative experience supporting one or more senior executives.
- Expert knowledge and ability in MS Office Suite, including Word, Excel, PowerPoint, SharePoint and Visio required.
- Proven time management skills with the ability to take initiative in the development and completion of assigned projects and duties.
- Technical and professional writing and correspondence skills required.
- High level of organization, problem-solving and multi-tasking skills.
- Ability to build and maintain strong relationships across all levels of the company.
- Able to maintain strict confidentiality with company and personnel matters.
