Executive Assistant, SVP & ELT

Position Summary: In this role, the Executive Assistant (EA) will report to the Global SVP Therapy Leader and support several of his leaders. The EA will assist in a fast-paced and rewarding environment. The ideal candidate will be experienced in working with multiple executives, primarily senior leaders, as well and various levels throughout the organization. They must be able to exercise discretion and judgment with confidential matters, while managing multiple priorities simultaneously. This role requires a proactive self-starter who possesses exceptional communication skills, both oral and written. A high level of professionalism, flexibility, and strong attention to detail are essential.
This is an on-site position based in Irvine, CA
How you will make an impact:
Manage ELT’s time including schedules and calendar to optimize and prioritizing meetings, time and logistics, with attention to accuracy and detail on confidential information with utmost discretion
Use all computer programs relevant to the position to support development of correspondence, presentations, such as tracking and charting metrics data, and to generate reports, including developing findings from data
Ensure the preparation of confidential information, documents, and logistics for meetings of executives
Perform complex administrative activities including screening and directing confidential phone calls, as well as negotiating ELT's commitments, representing the ELT to internal and external visitors, and composing ELT draft responses to correspondence and requests; with little to no direction
Greet and engage internal and external visitors, including providing necessary preliminary information and ensuring professional interaction at all times
Schedule complex domestic and international travel in compliance with existing policies and procedures, to optimize use of Executive's time and schedule
Plan and execute meetings and events independently
Incidental: Assist in complex administrative projects/tasks
What you'll need (Required):
H.S. Diploma or equivalent 8 years’ experience directly related experience
Executive level administrative support

Bachelor's Degree is preferred
Proven expertise in MS Office Suite
Excellent professional written and verbal communication skills and interpersonal relationship skills, including proven success in establishing and maintaining high-level organizational support
Extensive knowledge and understanding of Edwards policies, procedures, and administrative requirements, including the acumen to appropriately interpret and apply them to current situations
Advanced proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint
Excellent written and verbal communications skills, including the ability to effectively represent the ELT internally and externally
Advanced problem-solving skills, including the ability to formulate alternatives and solutions
Advanced ability to manage complex travel arrangements, in keeping with overall time commitments and in support of optimizing time management
Ability to manage internal and external confidential information with utmost discretion
Works autonomously within established procedures and practices
Ability to build and maintain strong relationships across the organization to influence and achieve objectives
Ability to work in a fast paced, dynamic work environment
Exceptional attention to detail to ensure ELT awareness of and attention to all matters
Knowledge of and adherence to EW administrative policies and procedures
Ability to interact professionally with all internal and external organizational levels
Contacts are across the organization, with focus on executive leadership and high level external contacts, and may include board members, key opinion leaders and physicians
Adhere to all company rules and requirements (e.g., pandemic protocols, Environmental Health & Safety rules) and take adequate control measures in preventing injuries to themselves and others as well as to the protection of environment and prevention of pollution under their span of influence/control

For California, the base pay range for this position is $84,000 to $115,000 (highly experienced). The pay for the successful candidate will depend on various factors (e.g., qualifications, education, prior experience).
