Job Description

SUMMARY: 

The Executive Assistant will perform administrative tasks as needed for the CEO, President, other Executive staff and Board members.

REPORTING TO/DEPARTMENT: 

Reports to the Chief Executive Officer in the Administrative department.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • For the Chief Executive Officer, President, some members of the Executive Management Team and Board members, perform administrative tasks including, but not limited to:
    • Heavy meeting and calendar management to ensure there are no conflicts
    • Organize domestic and international travel, develop detailed itineraries, and ensure passport and Visa documents are accurate/up to date
    • Liaise with executive management team to coordinate meetings, agendas, and conference calls
    • Prepare and/or approve expense reports
    • Produce monthly business reports
    • Manage deadlines on various Action Items
  • Coordinate all details of international visitors including, but not limited to:
    • Provide appropriate documentation, so the visitor may enter the country
    • Create detailed travel itinerary and prepare meeting agendas
    • Book domestic travel (flights, hotels, ground, etc.)
    • Coordinate meetings/coordinate induction program with PIC staff and add meetings to calendars/itinerary
    • Secure appropriate paperwork from Health Assurance for requested farm visits
  • Work independently and within a team on special projects, which may include:
    • Planning and coordinating special meetings
    • Organizing company-wide events
    • Organize Global Meetings (research hotels, venues, vendors, ground transportation options, etc.)
  • Maintain all confidential information.

REQUIRED QUALIFICATIONS:

  • Business Administration Degree with a minimum five (5) years’ experience.
  • Excellent organizational and communication skills.
  • Knowledge and experience with a variety of computer software applications (Microsoft Word, Excel, Outlook, Diligent and PowerPoint).
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. 
  • Ability to work in a fast-paced environment and some weekends and manage multiple tasks and demands.
  • Occasional travel required (for permanent candidate).

To qualify for this position, candidates must be able to furnish proof that they are authorized to work in the country they are applying on a permanent basis without sponsorship.
