Profile Requirements:

  • Min 2.5 Years of Proven Experience as an Executive Assistant, Business Operations Assistant, Administrative Assistant, Office Manager, or similar role
  • Strong administrative, organizational, and project coordination experience
  • Experience assisting with commercial lending, loan documentation, real estate transactions, or financial paperwork is highly preferred
  • Comfortable communicating and negotiating with vendors, lenders, real estate professionals, and other business contacts
  • Strong budgeting and expense-tracking abilities
  • Proficiency with Microsoft Excel, Google Sheets, Google Workspace, and Microsoft Office
  • Excellent written and verbal communication skills
  • Professional and confident phone presence
  • Strong research and problem-solving abilities
  • Exceptional attention to detail when handling financial and business documents
  • Ability to manage multiple projects, appointments, deadlines, and priorities simultaneously
  • Experience with agriculture, farming, food production, real estate, or small-business operations is preferred
  • Familiarity with bookkeeping or basic financial administration is a plus
  • Ability to independently research information and present organized recommendations to leadership
  • Assertive, resourceful, proactive, and comfortable taking initiative
  • Ability to handle confidential financial and business information professionally
  • Comfortable working in a growing business where responsibilities may evolve over

Core responsibilities:

  • Assist with commercial lending applications, paperwork, documentation, and follow-up
  • Gather and organize financial statements, business information, applications, supporting documents, and other materials requested by lenders
  • Communicate with banks, commercial lenders, loan officers, and other financing contacts
  • Track lending requirements, outstanding documents, application statuses, deadlines, and next steps
  • Research potential financing programs, agricultural lending opportunities, grants, and other business funding resources
  • Assist with researching potential land and agricultural properties for purchase
  • Communicate with landowners, real estate agents, brokers, lenders, and other parties involved in potential land acquisitions
  • Assist the owner with land purchase negotiations, offers, follow-ups, and documentation
  • Research property information including pricing, acreage, zoning, utilities, agricultural suitability, taxes, and other relevant considerations
  • Schedule property tours, lender meetings, inspections, and other land acquisition appointments
  • Organize purchase-related documents, contracts, correspondence, and due diligence information
  • Maintain and help manage company budgets
  • Track business expenses, income, bills, purchases, and upcoming financial obligations
  • Maintain spreadsheets for budgets, cash flow, operating expenses, and business projections
  • Compare actual expenses against budgets and identify areas of overspending
  • Organize receipts, invoices, financial documents, and expense records for bookkeeping purposes
  • Assist with basic invoicing, bill tracking, vendor payments, and financial administration
  • Support business operations related to quail farming, meat production, egg production, microgreens, mushrooms, and other agricultural products
  • Research suppliers for feed, equipment, packaging, farming supplies, growing materials, and other operational needs
  • Communicate with suppliers and request pricing, quotes, availability, and delivery information
  • Maintain organized vendor and supplier records
  • Assist with inventory tracking for farming supplies, feed, packaging, equipment, and finished products
  • Research potential customers, distributors, restaurants, retailers, farmers markets, and other sales opportunities
  • Assist with organizing orders, deliveries, production schedules, and customer communications
  • Research agricultural regulations, permits, licensing requirements, and other business requirements and organize information for appropriate professional review
  • Manage the owner's calendar, appointments, meetings, reminders, and deadlines
  • Schedule calls with lenders, vendors, customers, contractors, real estate professionals, and other business contacts
  • Make outbound phone calls and follow up on outstanding requests
  • Answer and organize emails, phone calls, messages, and general business correspondence
  • Prepare spreadsheets, reports, presentations, forms, and business documents
  • Maintain organized electronic files for financing, properties, vendors, customers, operations, and financial information
  • Track important deadlines and ensure follow-up items are completed
  • Take meeting notes and maintain action-item lists
  • Research equipment, technology, agricultural processes, vendors, and other resources that could improve business operations
  • Help develop administrative processes, checklists, and standard operating procedures as the business grows
  • Coordinate contractors, vendors, suppliers, and other outside service providers
  • Assist with future hiring, onboarding, scheduling, and administrative support for employees when needed
  • Proactively identify tasks that can be handled without requiring the owner's direct involvement
  • Perform additional executive, administrative, financial, and business operations responsibilities as assigned
