Job Description:  
We are seeking a highly organized, proactive Executive Assistant to provide strategic administrative support to firm leadership. This role serves as a trusted partner to the Chief Executive Officer (CEO) by coordinating priorities, managing communications, tracking key initiatives, and ensuring important projects continue moving forward. 

The ideal candidate is resourceful, detail-oriented, and thrives in a fast-paced environment where priorities shift and no two days are exactly alike. This individual excels at anticipating needs, solving problems before they arise, and creating organization out of complexity. 

While this position does not directly manage firm operations, it plays a critical role in supporting the leaders who do. Success in this role requires exceptional discretion, strong communication skills, sound judgment, and the ability to coordinate across multiple teams and stakeholders. As the firm grows, this position has the potential to evolve, creating opportunities for increased responsibility, professional development, and long-term career growth. 

Examples of the duties:  

Executive Support for CEO 

  • Manage complex calendars and schedules for firm leadership 
  • Coordinate meetings, agendas, materials, and follow-up activities 
  • Arrange travel, events, and logistics for partner and leadership meetings 
  • Screen and prioritize communications 

Strategic Project Coordination 

  • Track action items, deadlines, and key firm initiatives 
  • Follow up with stakeholders to ensure timely completion of commitments 
  • Assist with cross-functional projects and special initiatives as directed by CEO 
  • Create reports, presentations, and meeting materials 
  • As opportunities arise, collaborate with leadership and staff to assist with process improvements projects and implementation. 

Partner & Board Support 

  • Coordinate Partner Board meetings and leadership retreats 
  • Prepare agendas, minutes, and supporting documentation 
  • Maintain records and organizational documentation 
  • Ensure action items are documented and communicated   

Communication & Relationship Management 

  • Serve as a central point of coordination between leadership and staff 
  • Draft internal communications on behalf of firm leadership 
  • Help ensure consistency and timeliness of organizational messaging 
  • Build positive working relationships across all office locations 
  • Facilities and vendor management, including coordination of efforts and organization of contracts and other related documentation. 

Event & Community Coordination 

  • Coordinate internal meetings, retreats, and leadership events 
  • Support community engagement and firm-sponsored initiatives 
  • Assist with business development events and relationship-building activities 

Qualifications & Characteristics 

  • Bachelor’s degree in Administration, Management, Communications, or a related field preferred 
  • 2+ years of experience supporting senior leaders, executives, business owners, or leadership teams   
  • Exceptional organizational and time-management skills with the ability to manage multiple priorities simultaneously.  
  • Strong written and verbal communication skills, including drafting professional correspondence and presentations.  
  • Proven ability to handle confidential and sensitive information with discretion and professionalism.  
  • Strong attention to detail and follow-through, with a track record of keeping projects and commitments on track.  
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.  
  • Ability to use Microsoft CoPilot and other AI and automation tools to analyze efficiency improvement opportunities. 
  • Ability to anticipate needs, solve problems independently, and exercise sound judgment.  
  • Ability to travel between office locations as needed.

  • Location – on-site in our Willmar, MN headquarters 
  • Hours are normally Monday – Friday, 8:00 a.m. – 5:00 p.m. CST
