We are seeking an experienced Executive Assistant to support the Chief Information Officer (CIO) of Optum Insight and the Vice President of AI Engineering. This highly visible role requires exceptional business acumen, executive presence, critical thinking, organizational skills, and the ability to operate effectively in a fast-paced, high-intensity technology environment.
The ideal candidate will serve as a trusted partner to both executives, developing a deep understanding of their portfolios, organizational priorities, stakeholder landscape, and strategic initiatives. This individual will proactively manage competing demands, optimize executive time, anticipate needs, and help drive operational effectiveness across a complex leadership environment.
Successful candidates will not simply manage calendars, they will act as strategic business partners who exercise independent judgment, protect executive time, challenge requests that do not align with priorities, and help leaders focus on the highest-value opportunities and organizational objectives.
This position follows a hybrid schedule with four in-office days per week.
Primary Responsibilities:
- Provide direct executive support to the CIO of Optum Insight and the VP of AI Engineering within a high-volume, fast-paced technology organization
- Manage highly complex executive calendars by applying sound judgment, critical thinking, and business acumen to prioritize requests, resolve conflicts, and align executive time with strategic organizational priorities
- Develop a deep understanding of each executive's portfolio, key initiatives, stakeholder relationships, organizational objectives, and leadership responsibilities
- Serve as a trusted advisor and steward of executive time by evaluating competing requests, recommending priorities, and ensuring scheduling decisions align with business impact and organizational goals
- Anticipate executive needs and proactively identify issues, remove obstacles, and address potential conflicts before they arise
- Exercise independent judgment when managing executive schedules, stakeholder requests, competing priorities, and evolving business demands
- Coordinate domestic and international travel arrangements, including itinerary planning, logistics management, speaking engagements, and last-minute schedule adjustments
- Prepare and manage expense reports, travel documentation, invoices, and administrative processes accurately and efficiently
- Plan and coordinate executive meetings, leadership forums, staff meetings, off-sites, and special events, including agendas, materials, logistics, and follow-up actions
- Track key deliverables, action items, deadlines, approvals, and follow-up commitments to support effective execution across both executive offices
- Partner closely with executive leadership teams, Chiefs of Staff, business partners, Executive Assistants, and cross-functional stakeholders to facilitate communication and execution of organizational priorities
- Utilize enterprise-approved AI tools and productivity technologies to improve planning, organization, communication, and administrative workflows
- Identify opportunities to improve workflows, administrative processes, and organizational effectiveness by implementing scalable solutions and best practices
- Maintain strict confidentiality while exercising sound judgment and professionalism in handling sensitive information

Required Qualifications:
- High school diploma / GED
- 5+ years of experience providing administrative support to Vice President, CIO, C-suite, or equivalent senior executives in a large corporate environment
- Demonstrated experience supporting multiple senior leaders and successfully balancing competing priorities
- Demonstrated experience managing highly complex executive calendars and coordinating sophisticated travel logistics
- Demonstrated experience leveraging AI-enabled productivity tools, such as Microsoft Copilot, ChatGPT, Claude, or similar technologies, to enhance efficiency and effectiveness
- Advanced proficiency with Microsoft Outlook, Teams, Word, Excel, PowerPoint, and related productivity tools
- Proven ability to apply critical thinking and independent judgment to optimize executive time, evaluate requests, and manage competing stakeholder demands
- Demonstrated ability to independently manage competing priorities and resolve complex administrative challenges
- Demonstrated business acumen and the ability to understand organizational priorities, executive objectives, and stakeholder needs when making scheduling and prioritization decisions
- Demonstrated ability to exercise sound judgment, maintain confidentiality, and interact effectively with senior leaders and stakeholders
- Demonstrated success operating in a high-volume, high-expectation environment requiring flexibility, responsiveness, and exceptional attention to detail
- Demonstrated ability to establish and maintain highly effective organizational systems for managing multiple priorities, deadlines, deliverables, and follow-up actions
Preferred Qualifications:
- Experience supporting a CIO, CTO, Chief Digital Officer, VP Technology, VP Engineering, or similar technology executive
- Experience supporting a Chief of Staff, executive office, or senior leadership team where aligning executive time to strategic business priorities was critical to success
- Experience supporting executives with significant organizational scope, complex stakeholder networks, and demanding calendars in a large, matrixed enterprise environment
- Experience preparing executive communications, presentations, leadership briefings, or meeting materials
- Experience supporting executives within technology, engineering, digital transformation, AI, or innovation-focused organizations
- Experience helping executives manage highly dynamic schedules where priorities frequently shift and business decisions require rapid response
- Demonstrated experience independently identifying priorities, exercising business judgment, and implementing administrative or operational improvements with minimal direction
- Demonstrated written and verbal communication skills with the ability to interface effectively across all levels of leadership

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $34 - $60 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
