Position Overview:

The Executive Assistant provides comprehensive administrative, operational, project coordination, event planning, and relationship management support to a mortgage professional. This role is responsible for managing schedules, coordinating communications, supporting client and business partner engagement initiatives, maintaining records and systems, and supporting operational and project-related activities to help ensure the efficient execution of business priorities. The Executive Assistant serves as a key administrative resource by coordinating information, tracking deliverables, facilitating follow-through on commitments, and supporting professional scheduling, logistics, and administrative activities as assigned.

Job Responsibilities:

  • Coordinate and maintain schedules, calendars, meetings, appointments, travel arrangements, and other business commitments, ensuring priorities are organized and deadlines are met.
  • Monitor and track tasks, projects, action items, and follow-up activities; provide timely reminders and status updates to support efficient workflow management.
  • Prepare materials, agendas, correspondence, reports, and related documentation for meetings, presentations, and other business activities; conduct research and gather information as needed.
  • Serve as a primary point of contact for designated communications and managing administrative processes.
  • Coordinate and maintain business records, expense documentation, invoices, contact databases, and other administrative files to support accurate recordkeeping and reporting.
  • Track and organize recurring expenses, receipts, vendor documentation, and related information for submission, reconciliation, and operational review.
  • Evaluate and support administrative processes, identifying opportunities to improve efficiency, streamline workflows, and enhance organizational effectiveness through process improvements and automation.
  • Coordinate client appreciation and relationship-management activities, including closing gifts, milestone recognition, outreach campaigns, and follow-up communications to support ongoing engagement.
  • Maintain accurate and up-to-date client, referral partner, vendor, and business contact information.
  • Coordinate communications, invitations, and logistics for meetings, events, presentations, and other business development initiatives.
  • Manage and monitor social media engagement across designated platforms, responding to messages, comments, and inquiries in a timely, professional manner and escalating items requiring additional attention as appropriate.
  • Support online relationship-building efforts by engaging with clients, referral partners, industry contacts, and other stakeholders through relevant interactions, content sharing, and community participation.
  • Track social media activity, notifications, and key relationship milestones to identify engagement opportunities, maintain accurate follow-up records, and support a consistent professional online presence.
  • Monitor online reviews, ratings, mentions, and reputation channels; respond to feedback in accordance with established guidelines and escalate sensitive matters when appropriate.
  • Track review activity and customer feedback trends, identify opportunities to recognize positive client experiences, and support initiatives that encourage client engagement and testimonials.
  • Support Realtor, client, and business partner outreach efforts by maintaining contact lists, preparing communications, and coordinating relationship-building activities, meetings, and events.
  • Track outreach activities, follow-up commitments, and key relationship dates to help ensure timely communication, completion of action items, and ongoing stakeholder engagement.
  • Coordinate event planning and logistics, including venue research, vendor coordination, invitations, RSVP management, attendee tracking, and event timelines.
  • Manage event resources and operations by arranging catering, materials, promotional items, signage, deliveries, transportation, and on-site setup and breakdown activities.
  • Support event execution and post-event activities by assisting with event-day logistics, tracking attendance information, and coordinating follow-up communications, acknowledgments, and related relationship-management activities.
  • Prepare travel itineraries, reservations, meeting materials, and scheduling information; monitor commitments and identify potential conflicts to help ensure effective coordination of priorities.
  • Coordinate special projects and operational initiatives from planning through completion.
  • Evaluate vendors, obtain pricing and service information, and coordinate activities with internal and external stakeholders to support business needs and project objectives.
  • Develop, maintain, and improve administrative systems, processes, and workflows while managing time-sensitive requests and resolving logistical challenges.

Qualifications and Skills:

  • Experience as an Executive Assistant, Senior Executive Assistant, Personal Assistant, Household Manager, Office Manager, Concierge, Family Assistant, or similar role.
  • Experience supporting an executive, entrepreneur, business owner, real estate professional, mortgage professional, or other high-volume professional in a dynamic environment, preferred.
  • Experience in real estate, mortgage lending, luxury real estate, hospitality, or another relationship-driven industry, preferred.
  • Experience coordinating events, managing logistics, and supporting client engagement and relationship-marketing activities, preferred.
  • Experience utilizing CRM/contact management systems and social media platforms to support communication, relationship management, and outreach efforts, preferred.
  • High level of discretion and professionalism when handling confidential, sensitive, and proprietary business information.
  • High attention to detail.
  • Excellent communication skills.
  • Excellent organizational, time-management, and prioritization skills, with the capacity to manage multiple deadlines and maintain accurate records, calendars, and administrative systems.
  • Skilled in problem-solving and independent decision-making, including the capacity to assess priorities, identify solutions, exercise sound judgment, and manage responsibilities effectively with minimal supervision.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel).
  • Valid driver's license and occasional local travel required to perform job responsibilities.
