About This Role:
We're looking for a full-time Executive Assistant to join our Global Executive Assistant team. You'll report to the Senior Manager, Talent Development. This is a remote role based in Mexico City, Mexico.
In this role, you'll play a key role in keeping our executive team running smoothly by serving as the operational backbone for an assigned group of executives — keeping calendars tight, travel seamless, and expenses accurate. This is a great opportunity for someone who thrives in a fast-paced, high-velocity environment and enjoys working cross-functionally with teams like our executive leadership and their broader organizations. The ideal candidate brings strong skills in calendar and meeting management, travel coordination, and expense management.
You'll be a formal Gainsight employee, payrolled through our third-party vendor Remote.com, which handles your local benefits and tax compliance. You'll be joining an existing team of Executive Assistants, and we also have an office (optional attendance) located in CDMX.
What You'll Do:
Manage executive calendars, including scheduling and prioritizing meetings, events, and calls.
Coordinate logistics for meetings, ensuring all necessary materials and resources are prepared in advance.
Organize travel arrangements when needed, ensuring seamless itineraries and addressing last-minute changes.
Manage expense reports: track and submit expense reports accurately and on time.
Handle confidential information with discretion and maintain a high level of professionalism.
This is not a complete list of responsibilities, and the scope of the role may evolve with the needs of the team and business. This role will require global travel up to 20-30% of the time for team meetings, training, or company events.
What We're Looking For:
6+ years as an Executive Assistant supporting C-level executives — not just VP or director-level.
6+ years of high-volume global calendar management across multiple time zones, with a track record of proactive, not reactive, scheduling.
6+ years coordinating complex international travel (multi-leg, multi-country itineraries).
Demonstrated ability to support multiple executives simultaneously (the pace of supporting 4–5 executives at once is the equivalent of one C-level).
3+ years of G Suite experience (Google Calendar, Gmail, Drive); proficiency in expense tools such as Concur.
Stable employment history with demonstrated tenure in prior roles.
Comfortable working flexible hours to align with executive time zones and availability.
Fluent in English; strong written and verbal communication skills.
Must have skills or experience:
Background in a fast-paced SaaS or startup tech environment — industry experience is a plus, not a requirement.
Experience supporting executives across US and UK time zones.
AI literacy — comfortable using AI tools to improve efficiency and output quality.

Our Compensation and Benefits: At Gainsight, we believe great work happens when teammates feel fully supported.
The starting base salary range for this role is $38,000 -$43,000 USD equivalent, paid in Mexican pesos via Remote. Actual compensation may vary based on factors such as skills, experience, and location.
We offer a comprehensive benefits package including a corporate performance bonus and a Christmas bonus (Aguinaldo) per local requirements. Benefits are administered through Remote, including medical, dental, vision, and other local statutory benefits. Teammates also enjoy Flexible PTO.
