This is an exciting opportunity to support the state Operations Executive Manager for Western Australia and South Australia.

Job Description

You will work closely with us to provide outstanding administrative support to the senior Executive for WA and SA. Be a key player in ensuring our operations run smoothly and efficiently, with excellent communication, governance and professionalism.

Duties will include, but not limited to:

  • Coordination of Executive schedules and calendar management
  • Coordination of meetings for Executive team and committees, including preparing agendas, electronic minutes and management of confidential documents
  • Provide confidential and efficient secretarial services in relation to the flow of information to and from the office of the relevant Executive member/s
  • Provide timely and accurate information in response to queries by stakeholders, patients, visitors and other customers
  • Effectively and efficiently liaise with all levels of staff and various other organisations
  • Responsibility for document creation, revision and control
  • Prepare, format and deliver documents to the appropriate parties as directed by the relevant Executive member/s
  • Assisting with producing and distributing communications to staff and doctors
  • Support the leadership team with project management and initiatives as assigned by the executives i.e: new system rollouts
  • Planning and execution of events and maintaining event calendars
  • Collaborate with departments to collect and feature important information for staff newsletters for both sites
  • Booking and coordinating Executive travel
  • Ordering of stationary and other no-clinical supplies
  • Executive team expense reconciliation 
  • Assist new members of staff with orientation 
  • Be involved and support continuous improvement projects and audits being undertaken in the department and the organisation
  • Assist in compiling data and generating reports to track initiatives
  • Provision of hospitality for Executive guests & visitors
  • Other administrative tasks as required including proofing documents

About You

To succeed in this role, you will demonstrate prior experience supporting an executive or team, ideally within a hospital setting.

You will also bring;

  • A high degree of professionalism, with excellent verbal and written communication skills 
  • A positive attitude and a high degree of self-confidence, with the ability to engage seamlessly with stakeholders at all levels 
  • Outstanding personal efficiency with high level capacity to multitask and managing priorities and deadlines
  • Experience in a similar role working closely with senior executive
  • Advanced proficiency with IT systems and Microsoft Office including; Outlook, Word, Excel and PowerPoint. Basic graphic design skills would be a bonus
  • Flexibility to meet variable work hour demands

Additional Information

  • Must provide or complete a National Police Check conducted within the previous 12 months.
