About the RoleThis Executive Assistant role supports multiple product coverage teams (consisting of Investment Directors and Investment Specialists). Fixed Income Product Management is responsible for product development and marketing, investment integrity and risk management, and general business management for the firm’s fixed income portfolios. The Executive Assistant provides intense logistical support and creation, maintenance, and organization of materials in order to leverage the group’s time. The ideal candidate is a highly detail-oriented administrative professional with a positive attitude and service orientation who enjoys multi-tasking in a busy, data-rich team environment.
RESPONSIBILITIES
Duties will include, but are not limited to:
Logistical coordination of meetings with various attendees and proactive calendar management
Extensive coordination and production of materials including daily reports, market data information, meeting prep packets, research materials, and confidential internal documents
Preparing client-facing documents and presentation materials in Word, Excel, PowerPoint and Adobe Acrobat
Obtaining information using various applications and market data services
Regular reporting and spreadsheet responsibilities
Organizing and facilitating team events
Diligent telephone coverage with gate-keeping expectations
Managing file systems, expense reporting, etc.
Providing back-up for other department support positions as needed
International and domestic travel itineraries and arrangements (when business travel returns)
QUALIFICATIONS
Undergraduate degree preferred
At least 3 years of prior administrative support experience; investment industry background/interest will be viewed favorably
Proficiency in MS Office (Word, Outlook, Excel, & PowerPoint); prior experience with Adobe Acrobat preferred
Comfort with technology and learning new tools
Strong service orientation, solid judgment, professionalism and proactive problem-solving skills
Strong interpersonal and communication skills
Detail orientation and a general comfort in a data-rich environment
Excellent organizational, multi-tasking, and prioritization abilities
Outstanding service orientation and proactive problem-solving skills
Flexibility, ability to work under deadlines, and a sense of humor

Working hours: 8:00am – 5:00pm though flexibility and overtime may be necessitated by business circumstance

Our approach to compensation considers all aspects of total compensation; all employees are eligible to receive salary, variable compensation, and benefits. The base salary range for this position is:
USD 60,000 - 110,000This range takes into account the wide range of factors that are considered when making compensation decisions, including but not limited to skill sets; role; skills and experience; certifications; and education. This range is an estimate, and further details on salary and total compensation aspects will be shared with candidates during the recruitment process.
Base salary is only one component of Wellington’s total compensation approach. Other rewards may include a discretionary Corporate Bonus and/ or Incentives, if eligible.
