About the Role
We are looking for a highly organised and proactive Executive Assistant to provide administrative and operational support to senior management. This role is ideal for someone who can manage multiple priorities, communicate confidently, and stay organised in a fast-paced environment.
The successful candidate will be reliable, professional, and detail-oriented, with the ability to build strong relationships with clients and stakeholders. As this role involves regular client interaction, excellent interpersonal skills, clear verbal communication, and a professional approach are essential.

Key Responsibilities
- Manage executive calendars, appointments, and meeting schedules.
- Coordinate travel arrangements, accommodation bookings, and event planning.
- Prepare reports, presentations, correspondence, and business documentation.
- Act as the primary point of contact between executives and internal/external stakeholders.
- Handle confidential and sensitive information with a high level of discretion.
- Take meeting minutes and monitor action items to ensure timely completion.
- Assist with personal and administrative tasks as required.
- Audit and monitor internal systems and processes to ensure client expectations and service standards are consistently met.
- Support the management team with project coordination and administrative duties.
Requirements
- Proven experience as a Personal Assistant, Executive Assistant, Office Manager, or in a similar administrative role.
- Excellent organisational, time management, and multitasking skills, with the ability to prioritise competing tasks effectively.
- Strong written and verbal communication skills with a high level of professionalism, discretion, and confidentiality.
- Strong problem-solving abilities and exceptional attention to detail.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) and collaboration/productivity tools.
- Experience with business systems such as Simpro (field service management), Xero (bookkeeping and financial administration), and Smartsheet (project tracking and workflow management) is an advantage but not essential.
While this is a work-from-home position, it is important to note that this is a full-time role—not a freelance or flexible-hour arrangement. You will be expected to work a fixed shift and maintain a high level of professionalism and accountability, just as you would in an office environment.

⏱ Payroll is processed bi-monthly.
