About the Role:
We are seeking a highly capable, proactive, and business-savvy Executive Assistant to support  COO (Chief Operating Officer) of a reputed US organization operating since 1898. This role goes beyond traditional administrative support — it requires someone who can act as a trusted partner, manage priorities, coordinate projects, and help drive business initiatives to successful completion.

What you'll do:

  • Serve as a trusted support partner to a senior executive, managing day-to-day priorities and ensuring timely execution of key initiatives
  • Coordinate and track multiple projects, following up with stakeholders to ensure deadlines are met
  • Anticipate business needs by proactively preparing information, identifying potential issues, and recommending solutions
  • Exercise sound judgment when handling business matters and making routine decisions.
  • Manage communications, meetings, follow-ups, and action items with professionalism and discretion
  • Assist with operational, billing, and business-related tasks while ensuring accuracy and attention to detail
  • Collaborate with internal teams and external stakeholders to drive accountability and achieve desired outcomes
  • Identify opportunities to improve processes, efficiency, and organizational effectiveness

Educational Requirements:

  • O Level / A Level (English Medium) academic background.
  • Bachelor's degree in Business Administration, Management, or a related field from a reputed university.

Experience Requirements:

  • Experience supporting CXO level employee in a multinational or international business environment is strongly preferred
  • Experience as an Executive Assistant, Operations Coordinator, Project Coordinator, or in a similar business support role is a plus
  • Familiarity with project management tools, CRM systems, and productivity platforms
  • Experience supporting billing, finance, or operational processes
  • Experience creating or maintaining documentation

Additional Job Requirements:

  • Excellent English speaking and writing ability, with native (C1 or higher) fluency; must be able to communicate clearly and professionally with international business stakeholders
  • Strong business acumen with a solid understanding of business operations, financial terminology, and commercial processes
  • Must be able to work with the USA time zone
  • Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) is required
  • Demonstrated ability to manage multiple priorities while maintaining exceptional attention to detail
  • Highly organized, resourceful, and capable of working independently with minimal supervision
  • Strong analytical and problem-solving skills, with the ability to think critically before taking action
  • Ability to take ownership of projects and drive them through to completion
  • High level of professionalism, discretion, and integrity
