Position Overview
Executive Assistant to the Vice President Global Named Accounts EMEA, you will be a critical Worldwide Sales Leadership Team member where your creativity and ideas will make a difference. Agile and able to think ahead to ensure the smooth running of the VP’s office.
You will provide senior-level administrative support to the VP, coordinating events, meetings and activities for EMEA Sales Leadership and addressing potential problems to ensure an efficient functioning office.
We offer both hybrid and remote working options and you can be based anywhere within in Europe.
Responsibilities
- Manage complex agendas and calendars for both internal and external meetings- proactively engaging with senior people
- Manage domestic and international travel and itineraries
- Organize and attend senior-level meetings, including input and issues of agendas and meeting materials
- Coordinate and support large scale external event(s) as required, including event organization and accurate project management from the planning stage to implementation
- Collaborate to support other Executive Assistants and our Senior Management teams
- Support in the preparation and set up of meetings including all catering and technology requirements, virtual or otherwise
- Help manage departmental budgets and expenses. Track spending and generates expense reports. Ensure department bills are paid promptly. Be a point person for departmental purchases
- Manage internal comms projects incl. All Hands; Email Communications; Presentations; EMEA Team SharePoint Content
- Create presentations and other management packs for our senior meetings
- Be a liaison between corporate office(s) by disseminating key communication pieces and distributing materials
- Manage expenses
- Project management of business initiatives
Minimum Qualifications
- Excellent communication and interpersonal skills, with the confidence to deal with executive-level audiences across the business in a highly professional manner
- Knowledge of frequently used computer software and programs, such as Microsoft Office; AI
- Full fluency in English
- Skills and experience in working in a multi-cultural global business context, globally aware
Preferred Qualifications
- 8+ years of broad Executive Assistant experience
- 5+ years minimum of experience partnering at Executive Level in a complex organisation
- Project management, time management and organizational skills, robust attention to detail
- Ability to manage multiple assignments and deadlines with accuracy
- Ability to influence without authority
- Creative problem-solver
- Global experience, willingness and flexibility to travel globally as needed
