Executive Assistant – Commercial Sales Leadership

Position Summary

The Executive Assistant provides high-level administrative, operational, and strategic support to two senior Commercial Sales Executives within the North America Diagnostics Commercial Organization. This role serves as a trusted business partner to executive leadership in a fast-paced, revenue-focused environment, enabling effective execution of commercial priorities, customer engagement strategies, and cross-functional initiatives.

The ideal candidate thrives in a highly visible role requiring exceptional organizational agility, executive presence, discretion, and the ability to manage competing priorities across multiple senior stakeholders.

Key Responsibilities

Executive Leadership Support

  • Provide comprehensive executive support to two senior Commercial Sales leaders, managing day-to-day operational and administrative priorities.
  • Act as a strategic partner by anticipating leadership needs, identifying potential conflicts, and proactively driving solutions.
  • Support execution of key commercial initiatives, leadership priorities, and customer engagement activities.
  • Ensure executives are fully prepared for internal leadership meetings, customer interactions, board-level presentations, and field engagements.

Calendar & Meeting Management

  • Manage complex and high-volume executive calendars across multiple time zones with competing priorities and frequent changes.
  • Coordinate internal leadership meetings, customer calls, national sales reviews, and strategic planning sessions.
  • Prepare agendas, presentations, briefing materials, and meeting documentation.
  • Track action items, deadlines, and follow-up activities to ensure timely execution and accountability.

Travel & Event Coordination

  • Coordinate domestic and international travel arrangements aligned with customer meetings, field visits, sales leadership meetings, conferences, and industry events.
  • Manage complex travel logistics and rapidly adapt to schedule changes in a dynamic commercial environment.
  • Process and reconcile executive expense reports in compliance with company policy.
  • Support planning and logistics for national sales meetings, leadership offsites, trade shows, and customer events.

Executive Communications & Stakeholder Management

  • Serve as a primary liaison between Commercial Sales leadership and internal stakeholders including Marketing, Finance, HR, Operations, Sales Operations, and external partners.
  • Draft, edit, and manage executive communications, presentations, reports, and correspondence.
  • Prioritize incoming communications and ensure timely response, escalation, and follow-through.
  • Maintain strong working relationships across all levels of the organization while demonstrating professionalism and confidentiality.

Customer & VIP Engagement Support

  • Coordinate executive-level customer meetings, strategic account visits, and VIP engagements.
  • Partner with Commercial, Marketing, and Customer Experience teams to deliver a seamless and professional customer experience.
  • Support customer-facing activities including executive briefings, hospitality coordination, and event logistics.

Reporting & Business Operations Support

  • Develop and maintain executive presentations, dashboards, reports, and commercial performance materials.
  • Assist with pipeline reviews, forecasting support, sales analytics, and business performance updates.
  • Support preparation of leadership review materials, executive summaries, and strategic business updates.
  • Coordinate special projects and operational initiatives supporting commercial effectiveness.

Financial & Administrative Support

  • Assist with tracking departmental budgets, travel and entertainment expenses, and invoice processing.
  • Support annual budget planning activities and monthly expense monitoring.
  • Prepare basic financial reporting and administrative analysis to support executive decision-making.

Office Operations & Process Coordination

  • Maintain organized systems for confidential documents, business materials, and executive records.
  • Facilitate efficient communication and information flow across leadership teams and cross-functional partners.
  • Support implementation and adoption of tools, systems, and process improvements that enhance commercial operations and executive efficiency.

Cross-Functional & Team Support

  • Support broader Commercial Sales activities including onboarding coordination, leadership meetings, territory planning support, and organizational initiatives.
  • Partner with cross-functional teams to drive operational excellence and strategic project execution.
  • Provide additional support for recruiting coordination, team events, and ad hoc business initiatives as needed.

Qualifications

  • Bachelor’s degree preferred or equivalent professional experience
  • 5+ years of executive administrative experience supporting senior leaders, preferably within Commercial Sales, Healthcare, Diagnostics, Life Sciences, or other customer-facing organizations
  • Experience supporting multiple senior executives simultaneously in a fast-paced environment
  • Advanced proficiency in Microsoft Office Suite including Outlook, PowerPoint, Excel, Teams, and related collaboration tools
  • Strong organizational, project coordination, and time management capabilities
  • Excellent written and verbal communication skills
  • Proven ability to manage sensitive information with discretion and professionalism
  • Ability to prioritize competing demands while maintaining attention to detail and execution quality

The base pay range for this position is:

$79,730 - $109,626

Factors which may affect starting pay within this range may include geography/market, skills, education, experience, and other qualifications of the successful candidate.

If this is a commission eligible position the commission eligibility will be in accordance with the terms of the Company's plan. Commissions are based on individual performance and/or company performance.
