UTA seeks an Executive Assistant to join our People Team. Qualified candidates must have precise, detail-oriented organizational and administrative skills, as well as excellent verbal and written communication abilities. Candidates must have the ability to manage multiple projects in a high-volume environment, exercise judgement on prioritizing tasks, and have experience in an office environment managing heavy scheduling, phone calls, and administrative tasks. This is an in-office role based in Beverly Hills, California.
The salary range for this role is $25.00 to $30.00 commensurate with experience and skills.
What You Will Do
Significant email and calendar management (via Outlook) and coordination
Task and project management (reminder of to-dos, deadlines, email drafts, etc.)
Act on behalf of the sub-functions and monitor “Tier 1” questions on behalf of the sub-departments and respond to or route emails promptly
Coordinate function-oriented activities/events
Maintain schedule of staff check-ins, department check-ins, and regular meetings to maintain the “high touch” nature of the People Function
Assist in pulling data reports from Workday and preparing basic data, as requested
Book travel and complete expense report management
Efficiently coordinate interviews between candidates and interviewers within the organization
Maintain candidate database and oversee incoming inquiries
Prepare and post jobs as necessary
Continuously developing business knowledge and acumen of company and departmental objectives
What You Will Need
3+ years of experience supporting senior level executive(s) required
Experience in Human Resources, Benefits, or Learning & Development preferred
High degree of professionalism and discretion
Proactive, dependable work ethic
Ability to perform effectively under pressure in a fast-paced environment
Collaborative, positive team player willing to go the extra mile
Strong customer-service orientation with excellent communication and interpersonal skills
Exceptional attention to detail and sound problem-solving and decision-making skills
Strong prioritization and time-management skills with the ability to meet deadlines
Proficiency in Excel, PowerPoint, Outlook, Word
Working knowledge of Workday and Asana preferred
Strong business acumen and interest in the media, sports, and entertainment industries preferred
