About the Role
SprintRay is looking for a highly organized, proactive, and service-oriented Executive Assistant & People Operations Coordinator to support our executive team and help create an exceptional onsite employee and visitor experience.
This is a highly visible, hands-on role that sits within the People Services team and serves as a central point of support for our Los Angeles office. The ideal candidate enjoys being the person who makes things happen—whether that means coordinating an executive meeting, welcoming a visitor, organizing a company event, helping a new hire on their first day, ordering lunch, or jumping in to solve an unexpected office need.
This position will provide administrative support to members of the executive team while also supporting company events, employee experience initiatives, facilities coordination, and general People Services activities.
This role will not own confidential HR functions such as employee relations, payroll, compensation, benefits administration, leave management, or other sensitive employee matters.
Key Responsibilities
Executive & Administrative Support
Provide day-to-day administrative support to members of the executive team.
Manage calendars, schedule meetings, coordinate appointments, and help executives stay organized and prepared.
Coordinate meeting logistics, conference rooms, meals, materials, and other administrative needs.
Assist with travel arrangements, itineraries, reservations, and expense coordination as needed.
Prepare documents, presentations, meeting materials, and general correspondence.
Anticipate executive needs and proactively follow up on action items and priorities.
Support special projects and ad hoc requests from the executive team.
Office & Front Desk Experience
Serve as a welcoming and professional first point of contact for employees, candidates, customers, vendors, and other visitors to the Los Angeles office.
Greet and assist visitors and coordinate with internal teams regarding onsite guests.
Maintain an organized, professional, and welcoming front office and common-area environment.
Coordinate conference rooms, visitor logistics, deliveries, mail, and general office needs.
Help ensure the office is prepared for executive meetings, customer visits, interviews, and special events.
Employee Experience & Company Events
Coordinate onsite employee events, celebrations, lunches, meetings, recognition activities, and company initiatives.
Manage food and beverage ordering for meetings, events, and employee programs.
Support company-wide engagement initiatives and programs led by People Services.
Assist with planning and execution of larger company events such as Founders Day, leadership meetings, holiday events, and employee activities.
Help identify ways to improve the day-to-day onsite employee experience and office environment.
Partner across departments to help bring company initiatives to life.
People Services Support
Serve as an accessible, in-person resource for employees and help direct questions to the appropriate People Services team member.
Support new hire onboarding activities, including preparing workspaces, coordinating first-day logistics, welcoming new employees, and supporting orientation.
Assist with employee communications, recognition programs, engagement activities, and other People Services projects.
Provide general administrative and project support to the People Services team.
Maintain appropriate discretion and escalate confidential or sensitive employee matters to the appropriate People Services team member.
Facilities & Workplace Support
Partner with internal teams and vendors to coordinate day-to-day office and facilities needs.
Help manage office supplies, food, equipment, furniture, and other workplace resources.
Coordinate with vendors for maintenance, repairs, deliveries, catering, and other office services.
Identify onsite issues and take ownership of coordinating solutions.
Help maintain an organized, safe, functional, and welcoming workplace.
Required Qualifications
3+ years of experience in executive assistance, office management, workplace operations, People/HR coordination, hospitality, or a similar high-touch support role.
Experience supporting executives or senior leaders strongly preferred.
Strong organizational skills with the ability to manage multiple priorities and quickly shift between tasks.
Highly proactive and comfortable taking ownership without waiting for detailed direction.
Professional, polished, and comfortable interacting with executives, employees, candidates, customers, and external partners.
Strong written and verbal communication skills.
Excellent judgment and discretion.
Service-oriented mindset with a willingness to jump in wherever needed.
Strong attention to detail and follow-through.
Comfortable working in a fast-paced, evolving environment where responsibilities may change based on business needs.
Proficiency with Microsoft Office/Google Workspace and comfort learning new systems and tools.
Must be able and willing to work onsite full-time in Los Angeles.
