The RoleWe're looking for a highly organized, detail-oriented Executive Assistant & Office Manager to support our CEO and COO while also owning the day-to-day workplace experience for the team. This is a role for someone who thrives on creating structure and organized systems, anticipates needs before they're asked, and enjoys the variety of switching between calendar Tetris and stocking the snack shelf.
Key ResponsibilitiesExecutive Support (CEO & COO)
Manage and proactively maintain calendars for two executives, resolving scheduling conflicts and prioritizing time
Coordinate domestic (and occasional international) travel logistics for executives as well as other team members as needed: flights, hotels, itineraries, etc.
Draft and manage light correspondence and follow-ups on behalf of the CEO/COO
Prepare materials or agendas for recurring meetings as needed
Act as a point of coordination between the executives and internal/external stakeholders
Office Management / Workplace Experience
Coordinate weekly team lunches and other recurring team events
Manage office snack/supply ordering and vendor relationships
Support day-to-day office operations and act as first point of contact for workplace-related questions
Support the planning and execution of an office expansion and/or full office relocation (anticipated spring 2027), including logistics coordination, vendor communication, and move-day support
Help maintain a positive, well-run office environment as the team scales
1–3 years of experience in an EA, office coordination, or administrative role (internships count)
Excellent written and verbal communication
Highly organized with strong attention to detail and follow-through
Comfortable managing competing priorities across two executives
Discretion with sensitive/confidential information
Proactive, low-ego, "no task too small" attitude
Experience with calendar/travel tools (Google Workspace, Outlook, TripActions, etc.) a plus
Must be comfortable working 4-5 days a week onsite in our NYC office
