Everest National Insurance Company, a member of the Everest Re Group, Ltd., has an opportunity available for an Office Manager/Receptionist at our Chicago office.
Responsibilities include but are not limited to the following:

  • Manage the front desk by answering and routing incoming calls.
  • Greet visitors and advise the appropriate party of their arrival. Direct guests to seating area and offer beverages.
  •  Maintain and book schedule for conference room.
  • Coordinate office meetings and events, arranging menus and delivery of food/beverages as needed including printing and binding of presentations, coordinating of events, and shipping of required materials.
  • Serve as the local HR liaison to complete onboarding and termination which includes computer set up, Work station set up, Office ID”s, complete Silk Road documentation. Insure that all new employees are correctly set up and welcomed to Everest.
  • Manage all associated expenses for the office including the review of invoices. Process invoices with the approval on the Regional Leader in a timely manner.
  • Manage office inventory of supplies including computer equipment. Where required, process equipment returns back to Liberty Corner, NJ.
  • Manage assigned M&D assignments to support both the Regional Leader and team. This would include printing & binding of presentations, coordinating of events, and shipping of required materials.
  • Sort and distribute facsimiles and mail, coordinate the posting of mail and overnight packages
    • Work directly with corporate travel vendor to assist managers with travel arrangements.
    • Manage all associated expenses for the office including the review of invoices. Process invoices with the appropriate approval in a timely manner.
    • Assist with drafting correspondence as requested.
    • Assist in preparing expense reports as requested.
  • Assist in drafting of reports, letters organization charts, etc. as requested.
  • Manage the day to day services of the Chicago Office which includes copiers, telephones, kitchen, reception area, building and office ID’s, office supplies, etc.
  • Liaise with our Corporate Services staff to ensure the following for the supported office; access cards for new staff and seating charts.
  • Liaise with the Building management and Corporate Services to schedule service, maintenance, and inspection calls.  

Qualifications:

  • Undergraduate degree preferred.
  • 5-7 years or more of office manager, receptionist, office administration experience for large companies.
  • Ability to effectively communicate and collaborate with a diverse range of people and job functions
  • Professional demeanor and ability to remain calm under pressure
  • Personal integrity, with the demonstrated ability to handle sensitive and confidential information.
  • Extremely detailed and meticulous
  • Advanced knowledge in Excel
  • This position will require the individual to be on-site five days a week.

For CA only:  The base salary range for this position is $60,000 - $80,000 annually. The offered rate of compensation will be based on individual education, experience, qualifications and work location.
