The position / About the Job:
We are looking for a competent Executive Assistant to support our leaders/ Executive officials with high level of discretion, confidentiality, having good understanding of technical and business vocabulary, and a detailed knowledge of the organization’s operations, procedures, and people. You will be the one to organize and maintain the executive’s schedule and assist them by performing a variety of administrative tasks.
You are a quick professional with great time management and multitasking abilities. With your diligence and competence in your work executives can focus on their managerial responsibilities without worrying about other tasks. Your goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently.
This position will report to our MESEA cluster president.
Responsibilities
- Manage the executives’ appointments and schedules and make travel arrangements to make best use of their time.
- Handle confidential information and maintain the security of the executive’s records and files.
- Perform other administrative tasks using independent judgment and discretion.
- Plan, organize, and schedule own workload so that these activities are completed accurately and on time.
- These activities may include preparing documents and presentation materials; screening and responding to incoming correspondence, inquiries, and phone calls; drafting letters and official information releases; arranging and attending meetings; taking and distributing minutes.
- Handle the CSR Agenda.
- Support in Internal Communication and preparation of company events.
Requirements and skills
- Proven experience as executive secretary or similar administrative role
- Proficiency in MS Office
- In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry
- Familiarity with basic research methods and reporting techniques
- Excellent organizational and time-management skills
- Outstanding communication and negotiation abilities
- Integrity and confidentiality
- Degree in business administration or relative field
