Purpose & Overall Relevance for the Organisation:

 

We are seeking a highly organized, proactive, and professional Executive Assistant to provide executive-level support to our Go-to-Market, and Professional Services teams. This role requires a high level of discretion, strong judgment, and the ability to handle multiple priorities with poise. The ideal candidate is a problem-solver who takes initiative and can work cross-functionally to ensure the leaders they support are operating at maximum efficiency.

 

Key Responsibilities:

  • Serve as a trusted partner to executive leaders by anticipating needs, improving operational efficiency, exercising sound judgment, and proactively resolving challenges before they arise.

  • Provide calendar management, meeting coordination, and travel arrangements for the Go-to-Market and  Professional Services executives.

  • Act as a liaison, and sometimes gatekeeper, managing communications and ensuring timely responses to internal and external stakeholders.

  • Prepare and organize materials for meetings, including agendas, presentations, and reports.

  • Manage confidential and sensitive information with the utmost discretion.

  • Support budget tracking, invoice processing, and expense reporting across departments.

  • Own coordination and tracking of signatures and documents, and ensure documents are shipped to the correct recipients. 

  • Drive coordination across cross-functional stakeholders, ensuring key initiatives, deliverables, and executive commitments remain on track.

  • Prioritize competing requests and proactively manage executive calendars to optimize time, resolve scheduling conflicts, and align support with evolving business priorities.

  • Plan and execute executive meetings, leadership offsites, team events, and other strategic internal programs as needed.

 

Knowledge, Skills and Abilities:

  • Demonstrated sound judgment, resourcefulness, and the ability to anticipate executive needs, build trusted relationships, maintain confidentiality, and thrive in a fast-paced, high-growth environment with minimal direction.

  • Strong organizational skills with excellent attention to detail.

  • Strong ability to thrive in a fast-moving environment and manage competing priorities effectively.

  • Outstanding communication skills—both written and verbal.

  • High level of integrity and ability to handle confidential information.

  • Proficiency with Google Workspace, Microsoft Office, and tools such as Zoom, Slack, and expense management platforms.

 

Requisite Education and Experience / Minimum Qualifications:

  • 5+ years of experience as an Executive Assistant supporting senior executives, preferably in tech or a fast-paced corporate environment, or relevant applicable experience managing programs, projects or calendars for leaders

  • Experience supporting Go-to-Market functions preferred.

  • Experience supporting globally distributed teams across multiple time zones preferred.

  • Experience planning and executing Sales Kick-off and President’s Club events is strongly preferred.
