About the RoleThe Executive Assistant (Government Relations) will provide high-level administrative support to senior executives by managing calendars, scheduling meetings, and coordinating travel arrangements.
The person who steps into this role will play a crucial role in ensuring the efficiency and effectiveness of the executive team by handling a variety of administrative tasks and acting as a key point of contact. This role requires excellent communication skills, attention to detail, and the ability to work collaboratively in a fast-paced environment. Additionally, the Executive Assistant (Government Relations) is expected to take on more complex tasks and responsibilities, including event planning and project coordination.About You

Key Responsibilities:

  • Serve as the operational lead for the Washington, DC office, ensuring a professional and responsive environment.

  • Manage and maintain executives' calendars, including scheduling and coordinating meetings, appointments, and events.

  • Arrange and coordinate travel plans, including domestic and international flights, accommodations, and transportation.

  • Coordinate VIP visitors, customer meetings, and events.

  • Prepare and edit correspondence, communications, presentations, meeting briefs, and other documents.

  • Handle incoming and outgoing communications, including phone calls, emails, and mail.

  • Assist with the preparation of reports, meeting agendas, and minutes.

  • Adhere to compliance standards, including expense report preparation and allocation of coding, handling of direct and indirect purchase requests.

  • Maintain and organize files, records, and documentation.

  • Collaborate with other administrative staff to ensure smooth office operations.

  • Plan and coordinate events, both internal and external, as needed.

  • Perform other duties as assigned by executives.

Minimum Qualifications:

  • 3+ years of EA experience supporting executive(s) in a professional services organization or in the aerospace industry, with experience supporting executives in a government affairs, public policy, or congressional relations environment.

  • Proficient in Microsoft Office, including Outlook, Excel, Word, PowerPoint and Teams.

  • Experience with travel management software such as Concur or Egencia.

  • Previous event planning experience.

  • Ability to multitask, work under pressure and think critically while retaining accuracy.

  • Strong interpersonal skills, creativity, thoughtful business judgment and professional maturity.

  • High energy level, strong communication skills, intellectual curiosity.

  • Project management skills; ability to move tasks along and follow up is critical.

  • Desire to collaborate with colleagues throughout the company.

  • Motivated, flexible, team-player spirit.

  • Ability to handle confidential information with discretion.

  • Proactive and able to work independently with minimal supervision.

  • Ability to work full-time, in-person from our Washington, DC office.

  • Ability to obtain and maintain U.S. Security Clearance.

Preferred Qualifications:

  • Familiarity with the unique operating environment of Washington, DC, including congressional offices, executive branch agencies, trade associations, political events, and industry organizations.

  • Knowledge of congressional and executive branch protocols, political event etiquette, and the fast-paced nature of government affairs.

  • Familiarity with corporate PAC operations and political fundraising processes; experience supporting compliance-driven activities is a plus.

  • Certification: Administrative Assistant Certification, Certified Administrative Professional, or related certification.

  • Knowledge of document management systems like SharePoint, One Note, Adobe and Visio.

  • Basic understanding of financial and budgeting processes to assist with expense reports and budget tracking.

  • Experience with project management tools such as Asana, Trello, or Microsoft Project.



Compensation:

Pay Range:

$34.89 - $47.98

Your actual base compensation will be determined on a case-by-case basis and may vary based on job-related knowledge and skills, education, experience, internal equity and market competitiveness.
