Executive Assistant – Finance

Mattioli Woods Group | Leicester | Full time – 34.5 hours | Hybrid

We're hiring an experienced Executive Assistant to work in a close, trusted partnership with the Finance Director at Mattioli Woods.
This isn't simply diary and inbox management. You'll protect the Director's time, anticipate what's coming and keep priorities moving – taking ownership of correspondence, coordinating complex leadership diaries and making sure board, committee and audit deadlines are met. You'll support the Finance Director directly, working closely with the Executive Assistants to the Chief Executive and wider executive team.

What you'll be doing
  • owning the Finance Director's inbox, prioritising correspondence, drafting responses and tracking actions through to completion
  • managing a complex diary, protecting focus time and constructively challenging requests that don't make the best use of the Director's time
  • working with other Executive Assistants to coordinate leadership diaries, maintain a shared key-dates calendar and resolve clashes early
  • planning board, committee, year-end, audit, budget and regulatory deadlines, coordinating papers and ensuring the Director is fully prepared
  • organising meetings, agendas, minutes and action logs, alongside travel, accommodation and visitor arrangements
  • preparing and proofreading correspondence, briefings, reports and presentations, and liaising professionally with internal colleagues and external contacts
  • supporting Finance projects, acquisitions and integration activity, tracking team deliverables and organising events, appraisals and recruitment activity
  • handling expenses, invoices and information management, improving processes through technology and AI, and providing cover and mentoring within the PA team

What we're looking for
  • significant Executive Assistant experience supporting a C-suite or board-level executive, ideally a Finance Director or Chief Financial Officer
  • proven experience taking ownership of a senior executive's inbox and drafting correspondence on their behalf
  • complex diary management experience across senior stakeholders and time zones, working collaboratively with other Executive Assistants
  • excellent written English and advanced Microsoft 365 skills, including Outlook, Teams, Word, Excel and PowerPoint
  • commercial awareness and the confidence to challenge constructively, push back when priorities clash and hold colleagues to agreed deadlines
  • absolute discretion and sound judgement when handling confidential commercial, personal and regulatory information
  • a proactive, calm and organised approach, strong attention to detail and the ability to solve problems independently and as part of a team
  • experience in financial services or another regulated environment, board and audit cycles, financial terminology, board portals, AI tools or major change programmes is a bonus
  • flexibility to work occasionally outside core hours around key reporting and board deadlines

Why join us

At Mattioli Woods, you'll take on a senior, high-trust role at the centre of the Finance function, with real scope to make the Finance Director more effective. You'll build relationships across the leadership team, help key reporting and governance cycles run smoothly, and shape better ways of working. Alongside supporting projects and the integration of acquired businesses, you'll share good practice and help less experienced colleagues develop.
