Executive Assistant to the Chief Operating Officer

Position Overview
We are seeking a highly capable, proactive, and commercially aware Executive Assistant to provide dedicated support to the Chief Operating Officer of a reputable US organisation.
This is a direct, one-to-one executive support role that extends well beyond traditional diary and administrative assistance. The successful candidate will act as a trusted partner to the COO, helping manage priorities, coordinate projects, maintain momentum across key business initiatives, and ensure important actions are completed accurately and on time.
The role requires exceptional judgement, organisation, discretion, and communication. You will need to anticipate the COO’s requirements, engage confidently with senior international stakeholders, and take ownership of responsibilities with limited supervision.
This is an onsite position based in Cairo. The successful candidate must work hours aligned with the COO’s US working day. These hours form part of the role’s standard working schedule and may shift seasonally in line with US daylight-saving changes.
Key Responsibilities
Executive Support & Priority Management
- Provide dedicated day-to-day support to the Chief Operating Officer.
- Manage the COO’s calendar, meetings, communications, follow-ups, and competing priorities.
- Coordinate meeting preparation, including agendas, briefing materials, presentations, and supporting documentation.
- Maintain clear visibility of the COO’s key priorities, commitments, deadlines, and outstanding actions.
- Anticipate upcoming requirements and proactively prepare the information or resources needed.
- Exercise sound judgement when handling routine business matters and determining appropriate next steps.
- Manage confidential and commercially sensitive information with the highest level of discretion and integrity.
Project Coordination & Follow-Through
- Coordinate and track multiple projects, priorities, and business initiatives on behalf of the COO.
- Follow up with internal and external stakeholders to ensure actions and deadlines are completed.
- Maintain accurate project trackers, action logs, documentation, and progress updates.
- Identify potential delays, risks, dependencies, or incomplete actions and raise these with the COO promptly.
- Take ownership of assigned projects and support their progression through to completion.
- Help ensure decisions and instructions from the COO are communicated clearly and actioned effectively.
Business & Operational Support
- Assist the COO with operational, billing, financial, commercial, and other business-related activities.
- Prepare and maintain reports, presentations, business documents, correspondence, and executive records.
- Review information for completeness, accuracy, and relevance before presenting it to the COO.
- Apply strong business awareness when identifying issues, gathering information, and proposing practical solutions.
- Support the COO in maintaining oversight of critical operational and business priorities.
Communication & Stakeholder Coordination
- Act as a professional point of coordination between the COO and internal teams, clients, suppliers, and external stakeholders.
- Communicate clearly and professionally across email, meetings, calls, and other business channels.
- Coordinate meetings and follow-ups across different departments, countries, and time zones.
- Build credible working relationships with senior stakeholders while representing the COO professionally.
- Ensure relevant stakeholders remain informed of priorities, decisions, actions, and deadlines.
- Manage communications with diplomacy, urgency, and appropriate discretion.
Process Improvement & Organisational Effectiveness
- Identify opportunities to improve administrative processes, workflows, communication, and organisational efficiency.
- Recommend practical solutions that improve coordination, visibility, and follow-through.
- Develop and maintain effective templates, trackers, documentation, and standard working processes.
- Support the COO in strengthening accountability and execution across key initiatives.
Qualifications & Experience
- Bachelor’s degree in Business Administration, Management, or a related field from a recognised university.
- Proven experience as an Executive Assistant, Operations Coordinator, Project Coordinator, or in a similar senior business support role.
- Demonstrated experience providing direct support to a Chief Operating Officer, C-suite executive, or senior business leader.
- Experience working within a multinational, international, or US-based business environment, including coordination across multiple countries and time zones.
- Excellent written and spoken English, with C1-level proficiency or higher, and the ability to communicate confidently with US-based and international stakeholders.
- Strong business acumen, with an understanding of business operations, financial terminology, billing, and commercial processes.
- Experience preparing executive reports, presentations, trackers, briefing documents, and professional business correspondence.
- Advanced proficiency in Microsoft 365, particularly Outlook, Word, Excel, PowerPoint, and Teams.
- Familiarity with project management platforms, CRM systems, and productivity tools.
- Strong project coordination, planning, organisational, analytical, and problem-solving skills.
- Proven ability to manage multiple priorities, work independently, exercise sound judgement, and maintain exceptional accuracy and attention to detail.
- High levels of professionalism, discretion, integrity, and confidentiality.
- A strong secondary-school academic background, preferably within an English-medium or international curriculum.
- Ability and willingness to work a standard schedule aligned with US business hours.
